Overview
We are seeking a dynamic and friendly Front Desk Receptionist/Office Assistant to join our vibrant team! Duties
- Greet visitors warmly and professionally, ensuring they feel welcomed and attended to promptly
- Manage multi-line phone systems with excellent phone etiquette, directing calls accurately and efficiently
- Handle incoming and outgoing correspondence, including emails, faxes, mail, and packages
- Maintain appointment calendars and assist with scheduling appointments and transportation.
- Perform data entry, filing, records request and insurance verification.
- Support office management tasks such as supply inventory, equipment maintenance, and record keeping
- Assist with basic bookkeeping using QuickBooks or similar accounting software to track expenses and invoices
- Provide exceptional customer service by addressing inquiries promptly and professionally
- Support administrative tasks including and supporting team members as needed
Requirements
- Proven experience in office administration or clerical roles, preferably within a setting
- Strong computer skills with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools
- Excellent organizational skills with the ability to multitask efficiently in a busy environment
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Experience with front desk operations, multi-line phone systems, and customer support is essential
- Demonstrated professionalism with strong phone etiquette and interpersonal skills
- Ability to manage time effectively while handling multiple responsibilities simultaneously
- Previous experience as a medical receptionist or personal assistant is advantageous but not required
