SUMMARY: Under the supervision of the front office supervisor, the front desk staff expected to ensure professional care for patients and ensure an effective and efficient front office workflow. The staff is expected to perform essential tasks such as answer a multi-line phone system, take messages using clinic's Electronic Medical Record, register and schedule patients, collect copayments and follow office payment policies, check-out patients and schedule follow up visits, and perform various other clerical duties.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following as well as other duties and responsibilities that may be assigned.

  • Answer phones quickly (by second ring) and courteously, using approved telephone techniques and etiquette.
  • Telephone skills must be exceptional. Determine nature of call and direct caller to appropriate department and/or take message using correct grammar by typing into the patient's electronic medical record (EMR) and route to the physician or appropriate staff member.
  • Register patients by obtaining patient demographics and other information, schedule appointments by following physician preferences using the EMR. Explain insurance contracts and payment policies to patients.
  • Greet and check-in patients, using the EMR system.
  • Obtain patient demographic and insurance information, and enter into the physician practice EMR. Verify demographic information for all patients.
  • Check insurance eligibility of the patient at each clinic visit.
  • Assist medical and clinic staff with patients and expedite rooming patients in exam rooms and treatment areas.
  • Collect patient co-pays, deductibles and payments for services, strictly following the practice's payment policies. Balance daily collections and deposits.
  • Filing/Scanning. Perform clerical duties (e.g., photocopying, scanning, typing, forms, mailing, faxing, etc.)
  • Perform patient "call backs" as requested by Manager, Supervisor and/or Physician. Reminder calls to patients regarding follow up office visits and scheduled appointments.
  • Monitor daily performance of front office team members to ensure duties are completed accurately, efficiently and timely. Monitor and control overtime, review team member time off requests with practice manager.
  • Reviews reports from automated reminder service (Televox, Phreesia). Reviews cancelation logs timely.
  • Reviews provider schedule regularly to ensure time slots are properly maximized.
  • Identify and recommend solutions to front office team member and office issues or problems
  • Ensure high quality care for patients by reviewing and researching concerns or complaints and recommending corrective action as appropriate
  • Maintain the appearance and materials in the waiting room.
  • Ensures after hours call service has updated and current provider schedule.
  • Ensure all front desk staff has current and appropriate log on/user access for insurance eligibility verification.
  • Monitor the flow of patient check in and check out.
  • Keep patients informed of delays.
  • Perform all other duties as assigned

EDUCATION and QUALIFICATION REQUIREMENTS:

High school diploma or general education degree (GED)

At least 1-year front desk experience in outpatient clinic setting.

Experience with Central California Alliance for Health (CCAH) Care Based Incentives (CBI) is an advantage.

At least 3 years computer skills experience. Previous experience using eMDs, Televox, Phreesia is an advantage.

Medical assistant certificate preferred.

LANGUAGE SKILLS

Ability to read and interpret letters, insurance forms, and procedures. Ability to use appropriate grammar and spelling. Ability to speak, understand and read English and Spanish is a requirement for this position.

REASONING ABILITY

Ability to interpret and follow through a variety of instructions furnished in written or oral form.

PHYSICAL DEMANDS

  • While performing the duties of this job, the employee is regularly required to talk or hear. The employee is regularly required to sit, stand, walk, use hands to finger, handle or feel objects, controls, reach with hands and arms, climb or balance, stoop, kneel, or crouch.
  • Employee must occasionally lift and/or move up to 20 pounds. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception, and the ability to adjust focus.
  • Position requires the employee to work at the computer on average of 95% of the time.

Job Type: Full-time

Pay: $17.00 - $22.00 per hour
