Duties
- Greet visitors, clients, and staff warmly, providing excellent customer support and assistance
- Manage multi-line phone systems efficiently, directing calls to appropriate departments or personnel
- Handle all front desk responsibilities including checking in visitors, scheduling appointments, and maintaining visitor logs
- Perform clerical tasks such as data entry, filing, proofreading, and managing correspondence
- Utilize computer skills to operate office software including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
- Maintain office organization through filing systems, inventory management, and supplies replenishment
- Support administrative functions such as calendar management, appointment scheduling, and personal assistant tasks as needed
- Conduct basic bookkeeping using QuickBooks or similar accounting software for petty cash or expense tracking
- Ensure proper phone etiquette at all times while providing prompt and professional support to callers
- Assist with office management duties to ensure a clean, organized workspace conducive to productivity
Experience
- Proven experience working in an office environment with clerical or administrative responsibilities
- Prior front desk or receptionist experience preferred; familiarity with multi-line phone systems is essential
- Strong computer literacy with proficiency in Microsoft Office (Word, Excel), Google Workspace (Gmail, Calendar), and data entry skills
- Excellent organizational skills with the ability to multitask efficiently in a fast-paced setting
- Demonstrated customer service skills with a friendly demeanor and professional phone etiquette
- Experience with bookkeeping software such as QuickBooks or similar tools is a plus
- Ability to handle confidential information discreetly while managing multiple priorities effectively
