Front Office Administrator

Job Overview
We are seeking a dynamic and highly organized Front Office Administrator to be the welcoming face of our liberal, LGBTQ+ affirming church representing belief systems of many kinds (see Unitarian Universalism). This vital role involves managing front desk operations, providing exceptional member service, and ensuring smooth office functionality. The ideal candidate will possess strong administrative skills, excellent communication abilities, strong social media proficiency, and a proactive attitude to support daily operations. Duties

  • Greet members and visitors warmly, ensuring they feel welcomed and attended to promptly
  • Support Senior Staff in projects
  • Maintain schedule of dozens of church room rentals per week for members in collaboration with our Rental Coordinator, who coordinates outside rentals.
  • Handle all front desk responsibilities including answering inquiries, scheduling appointments, and providing information. Coordinate front desk volunteers and projects.
  • Manage/create social media accounts, posting events on platforms including Facebook, Instagram, TikTok, LinkedIn, and YouTube
  • Maintain organized filing systems, data entry records, and manage correspondence with accuracy and attention to detail
  • Oversee office management tasks such as supply inventory, equipment maintenance, and coordinating with vendors
  • Utilize software tools like Microsoft Office, Google Workspace and other computer applications for administrative tasks
  • Assist with calendar management and scheduling for members or staff as needed
  • Provide member support by addressing inquiries promptly via phone, email, and mail correspondence while maintaining high standards of professionalism

Qualifications

  • Proven office experience with strong clerical and administrative skills
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and basic computer literacy
  • Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently
  • Strong typing skills along with attention to detail for proofreading and data entry tasks
  • Exceptional phone etiquette and customer service skills to handle inquiries courteously and professionally
  • Bilingual abilities are a plus to serve diverse client needs effectively
  • Previous experience in office management or personal assistant roles is preferred
  • Familiarity with multi-line phone systems, filing systems, and general clerical procedures
  • Ability to adapt quickly to new technologies and office procedures while maintaining a positive attitude
