Job Title: Front Office Executive & PRO Coordinator

Job Summary

We are looking for a well-organized and presentable Front Office Executive & PRO Coordinator to manage reception duties while supporting and coordinating all company-related PRO activities. The role requires strong communication, attention to detail, and the ability to manage documentation and follow-ups efficiently.

Key Responsibilities

1. Front Office Management (Primary Responsibility)

  • Greet and assist visitors, clients, and staff in a professional manner
  • Handle incoming calls, emails, and general inquiries
  • Maintain reception area, meeting rooms, and office coordination
  • Manage couriers, deliveries, and office supplies
  • Schedule meetings and coordinate appointments
  • Maintain visitor records and basic administrative logs

2. PRO Coordination (Documentation & Tracking)

  • Maintain and update employee visa and document tracker
  • Monitor expiry of:
  • Visas
  • Emirates ID
  • Passports
  • Insurance
  • Coordinate visa processes (new, renewal, cancellation)
  • Prepare and organize required documentation for submissions
  • Liaise with typing centers, agents, and relevant authorities
  • Track application status and ensure timely follow-ups
  • Coordinate medical appointments and Emirates ID processes
  • Ensure all employee records are complete and up to date

3. Government & Company Compliance Support

  • Track company-related renewals such as:
  • Trade license
  • Establishment card
  • Vehicle registration
  • Insurance
  • Assist in ensuring timely renewals and avoiding penalties
  • Maintain proper records of all company legal documents

4. Coordination with PRO Support

  • Plan and assign daily/weekly government-related tasks
  • Prepare documents required for external submissions
  • Coordinate with Primal for:
  • Document submission
  • Collection of approvals and IDs
  • Government visits and follow-ups
  • Ensure all tasks are tracked and completed on time

5. HR & Administrative Support

  • Maintain employee personal files and documentation
  • Assist in onboarding documentation
  • Support preparation of letters (NOC, salary certificate, etc.)
  • Assist HR and accounts team with basic coordination tasks

Skills & Requirements

  • Good communication skills in English (Hindi/Arabic is an advantage)
  • Strong organizational and time management skills
  • Basic knowledge of UAE visa and PRO processes preferred
  • Proficient in MS Office (Excel, Word, Email)
  • Presentable and professional demeanor
  • Ability to handle multiple tasks and follow up consistently

Experience

  • 1–3 years of experience in front office, admin, or PRO coordination preferred

Job Type: Full-time

Pay: AED3,000.00 - AED4,000.00 per month

Work Location: In person
