Key Roles and Responsibilities1. Patient Handling & Front Desk Operations
- Greet patients and visitors courteously and professionally.
- Register patients accurately in the system (demographics, documents, consent).
- Schedule, reschedule, and confirm appointments.
- Guide patients regarding consultation flow, investigations, and billing counters.
- Manage patient waiting time and coordinate with clinical staff.
2. Documentation & Records
- Maintain patient files, reports, and medical records confidentiality.
- Verify identity documents required for medical examinations (company / seafarer / insurance cases).
- Handle consent forms, declarations, and appointment registers.
- Ensure proper filing (physical and electronic).
3. Billing & Cash Handling (if applicable)
- Generate invoices, receipts, and payment acknowledgements.
- Collect consultation and investigation charges.
- Maintain daily cash summary and handover to accounts.
- Coordinate with accounts team for pending payments.
4. Communication & Coordination
- Attend incoming calls and respond to email/WhatsApp inquiries professionally.
- Coordinate with doctors, nurses, lab, radiology, and management.
- Communicate appointment status, delays, and instructions clearly to patients.
- Handle basic patient queries and escalate clinical concerns appropriately.
5. Customer Service & Patient Experience
- Ensure a polite, calm, and empathetic approach at all times.
- Address patient complaints at front-desk level and escalate when required.
- Maintain a clean, organized, and welcoming reception area.
- Uphold clinic policies, etiquette, and professional standards.
6. Compliance & Quality
- Follow NABH / ISO / clinic SOPs relevant to front office operations.
- Maintain confidentiality as per patient data protection guidelines.
- Support audits, inspections, and accreditation processes.
- Ensure visitor control and safety protocols.
Required Skills & Competencies
- Good communication skills (English and local language).
- Basic computer knowledge (MS Office / EMR / billing software).
- Strong interpersonal and customer service skills.
- Ability to multitask and handle pressure situations.
- Professional appearance and behavior.
Qualification
- Any graduate / diploma preferred.
- Prior experience in healthcare front office is an advantage (freshers may apply).
