Front Office Receptionist

Job Description

The Receptionist will be responsible for handling front office reception and other administrative and clerical duties, including greeting guests answering and directing phone calls, handling company inquiries, sorting and distributing mail, assisting staff with clerical tasks and assisting with the organization of monthly meetings.

Responsibilities

  • Answer and direct phone calls in a polite, professional and friendly manner
  • Welcome visitors with a smile, in a warm and friendly manner and answer any questions from visitors
  • Notifies company personnel of visitor arrival
  • Maintains security by following procedures, monitoring logbook, and issuing visitor badges
  • Maintain reception area and all common areas in a clean and tidy manner at all times
  • Operate standard office equipment on a regular basis, including a fax machine, a copy machine, computer, scanner and postage meter
  • Complete FedEx and UPS forms on shipments/packages
  • Keep detailed and accurate records of visitor requests and calls received
  • Receive deliveries; process, sort, scan and distribute incoming mail
  • Scan documents for archiving
  • Take inventory of supplies and restock as needed
  • Complete order requests for approval
  • Order and assist with catering needs
  • Maintain meeting room calendar
  • Perform data research (i.e., membership, participation, etc.)
  • Assist with mailers (as needed)
  • Maintain the general office systems
  • Organization of Online File Systems

Qualifications

  • Minimum qualifications of high school diploma and AA degree required
  • 2-3 years of relevant experience in an office environment
  • Professional demeanor and appearance
  • Proficient in Microsoft Office, Outlook and Excel
  • Able to type a minimum of 45 wpm
  • Strong phone and excellent interpersonal skills to include verbal and written communication skills to interact clearly with customers, vendors and other employees and create a pleasant experience for all customers. Specifically, be personable and attentive
  • Patience and listening skills to respond appropriately and interact positively with upset customers
  • Demonstrate ability to read, write, and speak English clearly
  • Demonstrate the ability to take and follow directions
  • Organizational skills to keep accurate records and find important information quickly
  • Time management skills to prioritize and complete a variety of tasks throughout the day
  • Multi-tasking and prioritizing tasks without guidance
  • Excellent interpersonal skills
  • Punctual with strong attendance history
  • Assist other employees with data entry, record keeping, research etc.

Job Type: Full-time

Pay: $20.80 - $23.40 per hour
