Position Overview
The Fulfillment Manager is responsible for owning the entire fulfillment operation end-to-end—from inbound receiving to outbound shipping—ensuring that every order (DTC and wholesale) is accurate, timely, and reflective of the Bits & Bows brand standard.
This role requires hands-on leadership, retail fulfillment experience, and a zero-tolerance mindset for preventable errors. This is not a passive management role—this person will be deeply embedded in daily operations, team performance, and process improvement.
Key Responsibilities
1. Fulfillment Operations Ownership
- Oversee all daily fulfillment operations including:
- Order picking, packing, and shipping (Shopify + wholesale)
- Embroidery coordination (if applicable)
- Returns processing
- Ensure all orders ship within required timelines:
- DTC: Same or next business day
- Wholesale: Within agreed ship windows (typically ≤ 2 weeks)
2. Inventory Accuracy & Organization
- Maintain near-perfect inventory accuracy across all SKUs
- Oversee:
- Receiving and bin placement
- SKU labeling and bin organization
- Cycle counts and discrepancy resolution
- Enforce non-negotiables:
- Every bin labeled
- All backstock organized by style
- No product stored in packing areas
- Maintain a mapped warehouse system (like a retail stockroom)
3. Team Leadership & Accountability
- Manage, train, and supervise fulfillment associates
- Set clear expectations around:
- Speed
- Accuracy
- Attention to detail
- Actively monitor performance:
- Identify underperformance quickly
- Address issues immediately with clear feedback
- Implement productivity tracking when needed
- Build a culture of ownership, urgency, and precision
4. Quality Control (Brand Protection)
- Ensure all outgoing orders meet Bits & Bows standards:
- Clean, unwrinkled, properly packaged
- Correct items, sizes, and personalization
- Enforce QC standards for:
- Hats (including protective covering for light colors)
- Jewelry and accessories
- Reduce preventable errors to near zero
5. Process Development & SOPs
- Create and maintain clear SOPs for:
- Picking & packing
- Receiving
- Inventory handling
- Embroidery workflows
- Continuously improve efficiency and accuracy
- Implement systems that reduce reliance on memory and increase consistency
6. Systems & Tools
- Manage fulfillment workflows within:
- Shopify
- Shipping platforms (ShipStation, etc.)
- Ensure accurate inventory syncing and order flow
- Flag system or process gaps proactively
7. Wholesale Fulfillment Excellence
- Ensure wholesale orders are:
- Packed to retailer standards
- Shipped on time with proper documentation
- Maintain communication with internal team regarding any delays
- Prevent missed ship windows at all costs
Required Qualifications
- 3–5+ years of fulfillment, warehouse, or retail operations experience
- Must include retail or e-commerce fulfillment environments
- Proven experience managing a team in a fast-paced setting
- Strong understanding of:
- Inventory systems and SKU management
- Pick/pack workflows
- Shipping and logistics
- Demonstrated ability to:
- Reduce errors
- Improve operational efficiency
- Hold team members accountable
Preferred Qualifications
- Experience with Shopify fulfillment workflows
- Experience with apparel, accessories, or soft goods
- Familiarity with wholesale fulfillment requirements
- Experience working in a growing brand or startup environment

Job Type: Full-time
Pay: $55,000.00 - $75,000.00 per year
