FULL TIME: Customer Svc / Bookkeeping / Administrative Assistant, w/ Benefits

IMMEDIATE OPENING for a dedicated, capable and personable Administrative Assistant with strong Customer Service and Data Entry skills.

WE ARE LOOKING FOR someone who can accurately, pleasantly, and efficiently, handle multi-tasking in a busy office. You would be constantly juggling customer service (often with customers who barely speak English), detailed data entry/bookkeeping and invoicing with multiple types of software, payment processing, and a myriad of ever-changing administrative and operational support tasks.

We are a small but busy heavy duty truck repair shop.

GENERAL HOURS are M-F, 8am or 8:30am to 5pm, with a half hour lunch. HOWEVER, you must be able to stay late on occasion, according to the needs of customers and the owner.
Example 1: You will stay late when the mechanics run late in finalizing the repairs of a truck that must get back on the road the same day, to process invoicing/payment before the customer can leave.
Example 2: You will stay late if, when the owner is working late on invoicing our fleet customers, he happens to need assistance with the computer system, or with sorting out complications in the mechanic’s notes or the parts purchased and refunded for the particular job.

INITIAL DAILY TASKS INCLUDE:

  • Answering multi-line phones.
  • Explaining work updates to customers.
  • Effectively dealing with truck drivers and dispatchers regarding time-pressured roadside service jobs.
  • Checking-in vehicles and starting work orders.
  • Creating and/or editing invoices, emailing to customers, and following up by telephone.
  • Calling customers for payments.
  • Making extremely detailed and accurate entries of parts purchase receipts, credit memos, and customer invoices into bookkeeping software.
  • Calling suppliers over any issues that arise.
  • Processing checks, credit cards, and payment links.
  • Monitoring and dealing with emails.
  • Supporting the owner and the entire staff with clerical tasks, tech support, and research as needed, both internal and online.
  • Solving issues with software, printers, etc. as they arise.
  • Inspecting and totaling employee time cards.
  • Keeping a phone and activity logbook.
  • Filing.
  • Ordering supplies.
  • Janitorial tasks.
  • Additional duties may be added at any time.

YOU MUST:

  • Be willing to learn and adapt to our way of doing everything.
  • Be willing to interrupt or delay your lunch for receiving a delivery, answering a customer, or any other urgent task.
  • Possess great communication skills (written and spoken), to help cut confusion and smooth out problems.
  • Be personable with customers.
  • Be extremely detail-minded and tireless with paperwork and note-taking.
  • Possess good computer skills, and be able to quickly learn multiple software programs and portals for invoicing. Familiarity with spreadsheets and Quickbooks is a plus, but we will teach.
  • Be great at multitasking with multiple phones calls, customers, deliveries, and the boss’s needs simultaneously, with ever-changing prioritization of tasks.
  • Be always aware and listening to what’s going on around you, in the office and the shop.
  • Be eager and self-guided in staying productive in any occasional slow times, catching up on miscellaneous office or janitorial chores, and double-checking for things that may have been forgotten.
  • Be willing to work in a moderately dirty environment, but still happy to clean it up on a regular basis.
  • Fit well into our small group of employees.
  • Be okay around dogs.
