Duties

  • Greet visitors, clients, and staff warmly, creating a welcoming environment at the front desk
  • Manage multi-line phone systems, directing calls accurately and professionally using proper phone etiquette
  • Handle scheduling tasks such as calendar management and appointment setting with precision
  • Perform data entry, maintain filing systems, and ensure all records are organized and up-to-date
  • Support bookkeeping activities using QuickBooks or similar accounting software for basic invoicing and expense tracking
  • Assist with office management duties including supply inventory, mail distribution, and maintaining office cleanliness
  • Provide excellent customer support by responding promptly to inquiries via phone or email, offering bilingual assistance if applicable

Requirements

  • Need to have Office experienc.
  • bilingual preferred
  • Proven experience in office administration or clerical roles with strong organizational skills
  • Proficiency in computer literacy including Microsoft Office (Word, Excel, Outlook) and Google Workspace tools
  • Excellent typing speed and accuracy along with proofreading skills to ensure error-free documents
  • Experience with front desk operations, multi-line phone systems, and customer service best practices
  • Bilingual abilities are highly desirable to serve diverse clients effectively
  • Strong time management skills with the ability to prioritize tasks efficiently in a busy environment
  • Personal assistant or office management experience is a plus, especially with calendar management and bookkeeping tasks such as invoicing or data entry
  • Knowledge of office equipment operation including printers, scanners, and fax machines
