GM's Secretary

Key Responsibilities:

  • Maintain and manage the GM's calendar, schedule meetings and appointments, and inform the GM of upcoming engagements.
  • Draft and finalize professional correspondence, memos, and reports to the GM.
  • Arrange, schedule, and service meetings by preparing agendas, taking minutes, and distributing them to attendees.
  • Create, organize, and maintain both computer and paper-based filing systems for documents, records, and reports. Responsible for creating visually engaging designs and presentations using Canva, Adobe Photoshop, and Microsoft PowerPoint for marketing, branding, and internal communication purposes.
  • Perform various administrative duties, such as data entry, document copying and distribution, and purchasing office supplies for GM's office.
  • Screening requests and inquiries for the General Manager.
  • Handle Contracts with company’s travel agencies handled / managed by GM.

Required Skills:

  • Communication Skills:Excellent verbal and written communication for handling correspondence and interacting with staff, clients, and other stakeholders.
  • Organizational & Time Management:Strong ability to prioritize tasks, manage multiple projects simultaneously, and maintain meticulous organization.
  • Technical Proficiency:Proficiency with Microsoft Office Suite and other office software, including virtual meeting platforms.
  • Discretion:The ability to handle sensitive and confidential information with professionalism and integrity.
  • Attention to Detail:A keen eye for detail in all administrative and clerical tasks.
