POSITION SUMMARY
The Golf Operations Admin Assistant is a key support role within Golf Operations, designed to ensure seamless behind-the-scenes coordination of daily golf activities in our private residential golf community. This position works closely with the Director of Golf, Assistant Golf Professionals, and the greater Golf team to manage tee time coordination, administrative functions, billing accuracy, and member service inquiries. While member-facing interaction is part of the role, the primary focus is on back-of-house operations, organization, and administrative support that allow the Golf Department to operate efficiently and at a high standard of service.

ESSENTIAL DUTIES AND RESPONSIBILITIES
  • The essential functions include, but are not limited to the following:
  • Coordinate and manage tee time reservations, including adjustments, confirmations, and special requests
  • Serve as a point of contact for golf-related inquiries from members, residents, and internal departments
  • Ensure invoices, billing, and golf-related charges are accurate, up to date, and properly documented
  • Assist with daily, weekly, and monthly administrative reporting for Golf Operations
  • Support staff scheduling, including preparing schedules, tracking availability changes, and assisting with timekeeping coordination
  • Maintain organized records related to tee sheets, tournaments, billing, and member usage
  • Assist the Director of Golf and Assistant Golf Professionals with operational planning and special projects
  • Coordinate communication between Golf and other departments as needed
  • Support tournament and event administration, including preparation of materials, tee sheets, and post-event documentation
  • Uphold the club’s service standards, mission, and values in all interactions
  • Maintain confidentiality of member, guest, and business information
  • Attend all relevant operational meetings.
  • Perform other job-related duties or special projects as assigned by management.
MINIMUM QUALIFICATIONS (KNOWLEDGE, SKILLS, AND ABILITIES)

  • Strong organizational and administrative skills with high attention to detail
  • Excellent verbal and written communication skills
  • Ability to manage multiple priorities in a fast-paced environment
  • Proficiency with computer systems, including scheduling software, POS systems, and Microsoft Office.
  • Prior experience with Northstar CMS is a plus
  • Working knowledge of golf operations, tee time management, or private club environments preferred
  • Ability to interact professionally and courteously with members, residents, and staff
  • Strong problem-solving skills and the ability to work independently with minimal supervision.
  • Demonstrated ability to maintain accuracy with financial documents and invoices
  • Flexibility to work weekends, holidays, and varying schedules as required by golf operations
  • Experience providing excellent customer service in a fast-paced environment.
EDUCATION:
  • High school diploma or equivalent required
  • Associate’s or Bachelor’s degree in Business Administration, Hospitality Management, Sports Management, or a related field preferred
  • Previous experience in a private club, golf operations, hospitality, or administrative role strongly preferred
APPROXIMATE SCHEDULE AND HOURS:
Weekdays, weekends, and Holidays, schedule flexible as business dictates.

Soliciting gratuities from members or guests is strictly prohibited and may result in disciplinary action up to and including termination of employment. Gratuities include items such as cash, favors, gifts, tickets to events and other forms of non-financial compensation.

LICENSES AND CERTIFICATIONS:
Must possess a valid Texas Driver’s License and meet the driver safety policy requirements.

PHYSICAL DEMANDS AND WORK ENVIRONMENT
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this position. Our property sits on 767 acres and features many indoor and outdoor facilities that make up the work environment. While performing the duties of this position, the employee may be required to stand and move around for the majority of their shift. While performing the duties of this position, the employee is also regularly required to push, pull, bend, lift and/or move up to 50 pounds. Likely this role will require the ability to drive a golf cart to transport from one area of the property to another in a safe and secure manner.
