Government Program Procurement & Sourcing Assistant

Government Program Procurement & Sourcing Support Assistant provides administrative and operational help for buying goods/services, ensuring compliance with laws, managing vendor records, processing purchase orders, tracking deliveries, handling documentation, supporting bid processes (RFPs/RFQs), and maintaining system data for efficient, cost-effective public procurement. This role requires strong organization, communication, and attention to detail, acting as a key liaison between internal departments, vendors, and procurement leadership to maintain transparency and fiscal responsibility.

Training is provided if the candidate demonstrates key attributes and qualities, such as a strong willingness and ability to learn, a solid foundation of core knowledge/skills, and a positive attitude.

Core Duties & Responsibilities

  • Research and identify qualified suppliers for government required parts and material
  • Request, receive, and track vendor’s quotes and lead times
  • Maintain organized supplier pricing and lead-time record for internal use
  • Prepare Purchase Orders and update purchasing and supplier data into MRP or tracking system
  • Daily Search government bid sites and portals for new opportunities (DIBBS, SAM, NECO, Unison, State & Local Sites)
  • Flag and route promising opportunities to the Program Administrator with RFQ, Part, and NSN numbers.
  • Supports administrative onboarding of new Suppliers, OEM and manufactures approved by Waltron; compile, complete, and submit standard business documentation requested such as vendor application, W-9 Forms, State tax exemption letter, business license, EIN.
  • Organize, and maintain supplier and OEM onboarding documentation within Waltron’s electronic document storage system. (Google Drive, INMASS)
  • Establish, maintain and manage a comprehensive filing system for all government orders fulfilled or shipped by Walton.
  • Ensure supplier records are complete, current, and properly labeled for future reference and audit support

Required Skills & Competencies

  • Organizational and Administrative Skills: Establishing and managing comprehensive filing systems, maintaining organized supplier records, and processing official documentation (Purchase Orders, vendor forms).
  • Attention to Detail: The ability to be accurate, thorough, and consistent when performing tasks
  • Communication: Acting as a key liaison between internal departments, vendors, and leadership, and effectively requesting and tracking vendor quotes.
  • System and Technical Proficiency: Using MRP or tracking systems for data updates and daily searching of government bid sites and portals (DIBBS, SAM, NECO, Unison).
  • Willingness to Learn: Demonstrates a strong willingness and ability to learn, a solid foundation of core knowledge/skills, and a positive attitude.

Compensation and Benefits

The company offers a competitive compensation and benefits package. Relocation compensation is not available.

Pay: $41,600.00 - $47,840.00 per year
