Miraval is currently seeking a Group Sales and Events Coordinator to support the Group Sales team through client communication (phone, email, database) and assigned projects. In addition, they oversee supporting and assigning leads and supporting client experience through optimal qualification. This position will also be responsible for assisting in the planning and executing of all hotel events and functions. This individual works with the event planning and sales team to assist with any and all administrative needs related to event planning. They work on organizing internal and external logistics for event management working with stakeholders that make the resort a success and clients alike.
Essential Functions
- Responsible for inbound lead intake, qualification, data entry, and distribution to appropriate Sales Manager; supports Envision database management and booking audit compliance.
- Supports the full sales lifecycle from prospecting through contracting and actualization, including proposal development, client communication, and closing support.
- Manages client communication and supports onsite group experiences including site tours, meetings, events, and pre-con and pre-arrival meetings.
- Supports event operations including Event Order distribution, internal events, and Familiarization (FAM) trip planning; opportunity to manage small groups or events in future.
- Maintains and updates team systems including Group Calendar, Event Tracker, file organization, and reporting (sales and events).
- Supports group logistics including resumes, billing, guest amenities, and special requests.
- Supports prospecting efforts through competitive shop outreach and reporting.
- Processes World of Hyatt loyalty points and supports related administrative tasks.
- Manages office operations including inventory, expense tracking, and organization.
- Represents Sales & Events to resort; to include daily Stand-Up meetings; communicates team priorities to the property and shares operational updates back to the team.
- Ensures compliance with all policies, procedures, and operational standards.
Qualifications
- Embraces the ethos and culture of the Miraval wellbeing brand
- Minimum of 2 years of high-end sales and customer service experiences preferably in a call center, sales/customers service and/or hospitality environment or University degree with internship experience
- Must understand the basic principles of planning events and customer service
- Must be familiar with the operation of property management software, email, routine database activity, graphics, and Microsoft applications such as Word, Excel, and Windows
- Know how to operate printers and other front office equipment
- Must be able to prioritize tasks and handle multiple tasks simultaneously
- Advanced technology proficiency with knowledge or ability to learn and lead with reservations software and booking systems
- Exceptional verbal and written communication skills with ability to skillfully articulate resort information to guests and new agents
- Exceptional time management, detail and organizational skills
- Professional demeanor with exceptional verbal, written and electronic communication skills
- Must be flexible and be able to work weekdays, weekends, mid shifts, nights and holidays when requested
