Role Overview
The Warranty Coordinator will play a key role in supporting Mantrac’s Service Centre of Excellence (CoE) by managing warranty claim submissions, ensuring compliance with Caterpillar and supplier standards, and streamlining warranty processes across multiple Business Units (BUs). The role requires close collaboration with warranty administrators, suppliers, finance, and service teams to drive best practices, ensure accurate reporting, and continuously improve warranty operations.
Key Responsibilities

Support Warranty Administrators in BUs with submission of warranty claims; in smaller BUs, directly handle submissions.

Work with suppliers to apply latest best practices and resolve warranty-related issues.

Keep the warranty manual updated.

Ensure warranty procedures are widely distributed and easily accessible (e.g., SharePoint).

Prepare and submit monthly warranty performance reports covering financial and operational KPIs.

Provide proactive monthly analysis of all warranty claims and settlements submitted to Caterpillar across BUs.

Follow up on reports to ensure “Best Practice” levels are achieved, creating SMART action plans where necessary.

Communicate annual standard warranty budgets to Service Managers, highlighting models due for washout.

Continuously look for opportunities to streamline warranty administration functions.

Initiate warranty development requests and work closely with the service development team on testing and deployment.

Conduct proactive analysis of WIP (Work in Progress) and follow up as needed.

Monitor warranty suspense accounts to ensure postings and washouts follow policy.

Extract financial entries and verify correct cross-references.

Provide analysis to finance teams for reviewing account balances.

Assist with Caterpillar Warranty Excellence KPIs and dashboard follow-up.

Support with reports on End-Warranty coverage, Extended Warranties (EPP/ESC), and Cat

Provide structured on-the-job training (SOJT) to BU Warranty Admins (virtual & in-person).

Participate in BU visits, preparing agendas and follow-up SMART action plans.

Support warranty operations and reporting for other suppliers (e.g., Perkins, SEM).
Requirements
-
Bachelor’s degree in Business Administration, Finance, Economics, Statistics, or a related field.

0 - 2 years of experience in warranty coordination, after-sales service, or a similar administrative role.

Familiarity with construction equipment, heavy machinery, or automotive industry processes.

Good understanding of financial principles and reporting.

Strong proficiency in Microsoft Office (Power BI is a plus).

Strong communication and interpersonal skills.

Proficiency in English (written and spoken).
