Position: Head of Administration and Procurement
Timings: 3 PM to 12 AM
Location: Vadgaon Sheri (Pune)
Job Summary:
The ideal candidate is responsible for overseeing all administrative functions across India, ensuring smooth operations, strategic planning, and effective coordination with internal and external stakeholders. This role will also be responsible for global strategic sourcing/procurement for our global offices. This role requires strong government liaising skills, high-level negotiation abilities, and a strategic approach to administrative and commercial interests.
Key Responsibilities:
1. Operations & Administration:
a. Provides guidance and direction as required to facility diverse team of administration personnel at all locations in India.
b. Monitor and audit the compliance of administration personnel and systems
c. Develop and implement policies for workplace management, safety, and compliance.
d. Manage vendor contracts, facilities, and workplace services efficiently.
e. Suggest and implement industry best practices, innovations, ease of doing business etc.
f. Oversee facility, transportation, cafeteria and inventory management.
g. Risk and capacity management
2. Strategic Liaison & Representation:
a. Work on strategic and policy administrative matters such as worksite selection – expansion / relocation, location working with the CFO and CEOsenior management to determine the geographic footprint of the company and deal with other administrative matters that will create and retain a clear and enduring competitive advantage for GlobalStep operations in India
b. Drive project management for creation of a world class office facility. Engage with key stakeholders as a project manager.
c. Represent the company and CEO/CFO before senior government officials (central, and state and local), ensuring the organization’s interests are effectively communicated.
d. Engage in high-level negotiations on behalf of the CEO/CFOcompany concerning business and personal affairs.
3. Global Strategic Sourcing/Procurement
a. Develop and implement global procurement strategies to ensure cost efficiency, vendor reliability, and compliance across all geographies.
b. Establish procurement policies, and guidelines to standardize purchasing processes globally.
c. Lead global vendor selection, negotiation, and contract management, ensuring competitive pricing and robust SLAs.
d. Conduct periodic vendor performance reviews and ensure alignment with business requirements and global standards.
e. Drive cost savings initiatives across categories (facilities, IT infrastructure, travel, professional services, etc.) through global consolidation and bulk buying.
4. Compliance & Legal Affairs:
a. Ensure compliance with all government regulations, legal policies, and industry standards.
b. Manage statutory and regulatory obligations in coordination with legal teams.
5. Commercial & Business Representation:
a. Represent the commercial interests of the company across India and ensure smooth execution of administrative and business-related operations.
b. Lead discussions with key stakeholders to secure favorable business and administrative terms.
c. Create and work within budgets for administrative spending
d. Collaboration with different departments to ensure smooth running of operations, improve processes, and create a productive workplace atmosphere
6. Leadership & Team Management:
a. Lead and mentor the administration team, ensuring high performance and efficiency.
b. Develop strategic plans to enhance operational excellence and cost-effectiveness.
Qualifications & Experience:
· 18+ years of professional experience, with at least 7 years in senior administrative roles.
· Strong background in corporate administration, government liaising, and business negotiations.
· Proven ability to engage with senior government officials and corporate stakeholders.
· Exceptional negotiation skills with a track record of securing high-level agreements.
· Strong leadership, communication, critical thinking and problem-solving skills.
· Proficient in MS Office
Job Types: Full-time, Permanent
Pay: ₹150,000.00 - ₹220,000.00 per month
