Job Purpose
To oversee and manage the overall administration, safety, discipline, and welfare of residents in both male and female hostels, ensuring a secure, hygienic, and well-organized residential environment in line with institutional policies and safeguarding standards.
Key Responsibilities
Hostel Administration & Operations
- Manage day-to-day operations of male and female hostels
- Ensure implementation of hostel rules, discipline, and standard operating procedures
- Maintain hostel records including admissions, attendance, leave, and visitors
- Prepare and manage duty rosters for wardens, caretakers, and support staff
Resident Welfare & Discipline
- Ensure safety, dignity, and well-being of all residents
- Address grievances and disciplinary issues fairly and sensitively
- Provide guidance, counseling, and conflict resolution support
- Promote a respectful, inclusive, and positive hostel environment
Safety, Security & Safeguarding
- Ensure implementation of safety, fire, and emergency protocols
- Enforce safeguarding, child protection, and gender-sensitive policies
- Monitor security arrangements including entry/exit procedures
- Handle emergencies, incidents, and crisis situations effectively
Staff Management & Supervision
- Supervise hostel wardens, matrons, caretakers, and support staff
- Conduct regular reviews, meetings, and performance monitoring
- Train staff on hostel management, discipline, and safeguarding norms
Facilities, Hygiene & Food Services
- Ensure cleanliness, hygiene, and maintenance of hostel premises
- Monitor food quality, kitchen hygiene, and housekeeping services
- Coordinate with maintenance teams for repairs and infrastructure upkeep
- Oversee inventory, assets, and hostel supplies
Coordination & Communication
- Coordinate with academic/program teams, parents/guardians, and administration
- Prepare and submit periodic operational, incident, and compliance reports
- Support inspections, audits, and external monitoring visits
Budget & Resource Management
- Assist in preparation and monitoring of hostel budgets
- Ensure cost control and optimal utilization of resources
- Verify expenses, purchases, and stock usage
Qualifications & Experience
- Graduate degree in Social Work / Education / Administration / Hospitality or related field
- Postgraduate qualification preferred
- 3–4 years of experience in hostel or residential facility management
- Experience managing both male and female hostels preferred
