Office Manager and Office Secretary

Duration: 3 months and renewable

Nationality: Any

Language: English, (Arabic is an added advantage)

Location: Lusail, Qatar
Nearest Transport: Marina South Tram Station
Working Hours: 8 hours per day + break
Work Days: 5 days a week

Job Summary:
We are seeking a professional and highly organized Office Manager / Secretary to oversee office operations and provide administrative support. The ideal candidate will ensure smooth daily workflow, assist management, and maintain a well-structured office environment.

Key Responsibilities:

  • Preferably with experience in e-publishing or e-design.
  • Prepare reports, presentations, and documents as required.
  • Manage daily office operations and maintain efficiency.
  • Act as the main point of contact for internal staff, clients, and visitors.
  • Handle phone calls, emails, and correspondence professionally.
  • Schedule and coordinate meetings, appointments, and travel arrangements.
  • Maintain electronic and paper filing systems.
  • Manage office supplies and place orders as necessary.
  • Assist in budget tracking, invoices, and expense reports.
  • Ensure adherence to company policies and maintain confidentiality.
  • Support HR functions including onboarding, leave management, and employee records.
  • Coordinate special projects and office events.
  • Communicate with the landlord regarding any office issues or small inconveniences.
  • Communicate with suppliers when necessary to ensure smooth office operations.

Qualifications:

  • Bachelor’s degree in Business Administration, Office Management, or related field preferred.
  • Proven experience as an Office Manager, Secretary, or in an administrative role.
  • Proficient in Microsoft Office Suite and office management software.
  • Excellent organizational, multitasking, and communication skills.
  • Professional demeanor with strong interpersonal abilities.
