Job Title: HR Admin / Document Controller

Job Summary:
We are seeking a detail-oriented and proactive HR Admin / Document Controller with proven experience in managing blue-collar workforce documentation, data entry, and applicant tracking. The role will be responsible for ensuring accurate HR records, smooth coordination with recruitment agencies, and effective use of Excel and HR systems to support manpower requirements.
Key Responsibilities:
- Blue-Collar Workforce Management
- Maintain employee records, documents, and files for blue-collar staff.
- Track attendance, leave, visa status, renewals, and contract details.
- Ensure compliance with labor law and company policies.
- HR Administration & Document Control
- Manage HR-related documentation (offer letters, contracts, medicals, visas, renewals, etc.).
- Organize and update personnel files, ensuring accuracy and confidentiality.
- Prepare HR reports and summaries for management.
- Data Entry & Applicant Tracking
- Maintain HR databases and Applicant Tracking Systems (ATS).
- Enter and update candidate information, interview schedules, and selection status.
- Generate Excel reports for recruitment and employee data tracking.
- Coordination with Recruitment Agencies
- Liaise with local and overseas recruitment agencies for manpower supply.
- Follow up on candidate sourcing, selection, documentation, and deployment.
- Support recruitment drives and onboarding of workers.
- General HR & Coordination
- Assist HR team with joining formalities, inductions, and orientation.
- Provide administrative support for audits, inspections, and compliance.
- Coordinate with PRO/HR operations for visa and legal processes.
Qualifications & Experience:
- Bachelor’s degree in HR, Business Administration, or related field.
- 2–4 years of experience in HR Administration / Document Control, preferably with blue-collar workforce handling.
- Strong proficiency in MS Excel (pivot tables, VLOOKUP, reports) and HR systems/ATS.
- Experience in coordinating with recruitment agencies (local & international).
- Excellent communication, organization, and documentation skills.
- Ability to handle sensitive information with confidentiality.
