HR & Admin Executive

Job Summary

Converge Biotech Pvt. Ltd. is looking for a responsible and detail-oriented HR-Admin Executive to manage expense administration, travel coordination, vendor bills, and administrative support functions. The role will also support HR operations and work closely with finance and business teams to ensure smooth operational execution.

This position offers long-term growth opportunities within administrative operations, HR support, and business operations in the pharmaceutical industry.

Key Responsibilities

 Manage monthly expense claims for approximately 200 field employees.

 Verify expense bills, receipts, and supporting documents as per company policies.

 Reconcile expense statements and coordinate internal approvals.

 Handle end-to-end travel desk operations including flight, train, hotel, and local travel

bookings.

 Ensure compliance with company travel and expense policies.

 Verify and process vendor bills and invoices (hotels, travel agencies, service providers).

 Coordinate with finance/accounts team for timely payment processing.

 Support meeting coordination, scheduling, and general administrative tasks.

 Maintain administrative records, MIS, and trackers.

 Assist the HR team with routine HR operations and onboarding coordination.

HR Assistant

Role Purpose

To manage transactional HR operations, documentation control, payroll inputs, portal updates, and vendor coordination for smooth and compliant HR functioning.

Key Responsibilities

A. Attendance & Leave Administration

  • Monitor daily attendance of HO and Field employees.
  • Maintain leave records (Excel & HRMS as applicable).
  • Handle DCR unlocking and reporting portal coordination.
  • Maintain monthly attendance MIS.

B. HR Documentation & Zoho Sign Administration

  • Maintain employee master database in HRMS.
  • Prepare and issue HR letters including:
  • Offer Letters
  • Appointment Letters
  • Confirmation Letters
  • Increment Letters
  • Relieving Letters
  • Experience Letters
  • Share documents via Zoho Sign and:
  • Track signing status
  • Follow up for pending signatures
  • Maintain digital records

C. New Joinee Data & Portal Updates

  • Update new joiner details in:
  • Employee Master Data (Excel)
  • HRMS Portal
  • New Joinee Tracker
  • Confirmation Tracker
  • GMC & GPA records
  • Share joining details with Admin team for Employee ID creation.
  • Add eligible employees to PF portal.
  • Create ESIC registration (if applicable) and share e-Pehchan card.

· Send birthday and work anniversary wishes as per employee calendar

D. Vendor Coordination

  • Coordinate with vendors for:
  • Employee ID cards
  • Visiting cards
  • Track dispatch and maintain issuance records.

Required Skills & Qualifications

 Bachelor’s degree in Business Administration or related field preferred.

 1–3 years of experience in HR,administration, operations, or office support roles.

 Proficiency in MS Excel / Google Sheets.

 Experience in expense management, travel coordination, or vendor handling preferred.

 Strong attention to detail and organizational skills.

 Good communication and coordination abilities.

 Ability to manage multiple tasks in a structured environment

Job Type: Full-time

Pay: ₹26,000.00 - ₹37,000.00 per month
