HR Administrative Assistant

Job Summary

The HR/Administrative Assistant supports the daily administrative functions of Renew360°’s Executive department. This role is responsible for maintaining accurate employee records, assisting with onboarding and compliance processes, supporting payroll and benefits administration, and ensuring smooth day-to-day operational workflows. The HR/Operations Assistant plays a key role in maintaining regulatory compliance, organizational efficiency, and a professional work environment aligned with Renew360°’s mission and standards.

TIME COMMITMENT

Part-Time; required to be on-site as often as necessary to perform the responsibilities of the position. Weekly evening availability will be required and scheduled in advance.

Essential Functions

1. Human Resources Support

- Assist with onboarding and offboarding processes, including new hire paperwork, background checks, employment verifications, and personnel file maintenance

- Ensure employee files are complete, organized, and compliant with federal, state, and licensure requirements

- Assist with benefits administration and employee inquiries

- Maintain confidentiality of employee and organizational information at all times

2. Operations Support

- Provide administrative support for facility operations, including supply ordering, management, and inventory

- Track contracts and service agreements

- Assist leadership with reporting, data entry, and special projects as assigned

3. Team & Communication

- Handle incoming calls, emails, and inquiries with professionalism and confidentiality

- Support interdepartmental coordination to ensure timely completion of organizational objectives

ADDITIONAL DUTIES

1. May be required to perform additional tasks or special projects assigned by the Executive Director and HR/Office Manager

2. Provide support for planning and coordinating special events, staff appreciation days, and community outreach initiatives

3. Participate in maintaining up-to-date organizational charts, directories, and administrative forms

4. Facilitate communication between departments

5. Collaborate with leadership to ensure all administrative processes align with the mission and vision of Renew360°

WORKING CONDITIONS

1. Professional office setting within a behavioral health treatment facility.

2. Must be comfortable working in a confidential, patient-centered environment.

3. Sits, stands, bends, lifts, and moves intermittently during working hours.

1. Education

- Associate’s degree required; bachelor’s degree preferred (Business Administration, Healthcare Administration, or related field).

2. Experience

- Minimum 1-2 years of administrative experience, preferably in healthcare, behavioral health, or nonprofit settings.

3. Skills

- Strong written and verbal communication.

- Excellent organizational and time management skills.

- Proficiency in Microsoft Office Suite and EHR systems (Zoobook Systems preferred).

- Ability to maintain confidentiality and manage sensitive information.

- Detail-oriented with ability to multitask and adapt to changing priorities.

Job Type: Part-time

Pay: $22.00 - $27.00 per hour

Expected hours: 20 – 24 per week
