HR Administrative Assistant

JOB SUMMARY

Flora Farms is seeking an HR Administrative Assistant to support daily HR functions across both Retail and Cultivation/Manufacturing divisions. This role plays an essential part in maintaining accurate payroll data, organizing employee information, and assisting with general HR workflows in a fast-paced, compliance-driven environment. The HR Administrative Assistant will work closely with managers and the HR department to support payroll preparation, onboarding processes, personnel recordkeeping, and routine administrative tasks. This position requires strong attention to detail, confidentiality, and the ability to adapt as the company grows. This position is hybrid, with regular work-from-home days and occasional onsite visits. Role requires approximately 5–10% travel (typically once per month).

JOB DUTIES

  • Assist with preparation and maintenance of payroll-related data for biweekly processing.
  • Monitor and update employee records, status changes, and documentation within HR systems.
  • Support hiring workflows by coordinating interviews, communicating with candidates, and preparing onboarding materials.
  • Maintain accurate employee files, digital documentation, and HR data logs.
  • Partner with managers to review timekeeping entries, resolve discrepancies, and ensure accurate reporting.
  • Assist with compliance-related tracking, including credential renewals and required employee documentation.
  • Support general HR communication by responding to employee questions or directing inquiries as needed.
  • Assist in generating routine reports or summaries for HR leadership.
  • Provide administrative support for HR projects, audits, and process improvements.
  • Maintain a professional and organized HR environment, ensuring confidentiality and accuracy in all tasks.

REQUIRED EXPERIENCE, EDUCATION AND SKILLS

  • High School diploma required.
  • >1 year of experience in HR, payroll, administrative support, or related roles.
  • Strong attention to detail with the ability to handle confidential information with discretion.
  • Proficient with Microsoft Office; Excel & Word skills are strongly preferred.
  • Comfortable working with payroll systems, digital databases, and share drives (experience preferred but not required). QuickBooks experience is a plus.
  • Strong communication, organization, and time management skills.
  • Ability to adapt to changing priorities in a compliance-driven industry.
  • Must demonstrate professionalism, reliability, and a willingness to learn.

ADDITIONAL REQUIREMENTS

  • Must be 21 years of age or older to apply.
  • Must comply with all legal and company regulations required for employment in the cannabis industry.
  • Hybrid role (remote + onsite). Requires approximately >10% travel for meetings, training, and as-needed onsite support.
  • Must have a reliable, private workspace with stable internet access.
