The HR Assistant provides essential administrative and operational support to the Human Resources Department. This role supports daily HR functions including employee communication, recruitment coordination, onboarding, compliance documentation, and record management to ensure smooth and effective HR operations.
The HR Assistant serves as a point of contact for employees and helps maintain a professional, responsive, and confidential HR environment aligned with agency policies and values.
Essential Duties
- Provides administrative and operational support to the Human Resources Department.
- Supports recruitment, onboarding, and employment documentation processes to ensure compliance and efficiency.
- Maintains accurate and confidential HR records in accordance with agency policies and legal requirements.
Job Functions
- Monitors and responds to inquiries in the HR inbox, including questions related to benefits, work hours, policies, and HR procedures.
- Serves as a point of contact between employees and HR leadership, escalating sensitive concerns or workplace conflicts as appropriate.
- Supports full-cycle recruiting processes, including posting job openings, tracking applicants, and scheduling interviews.
- Assists with onboarding activities, including preparing new hire documents and coordinating orientation schedules.
- Ensures completion and compliance of required employment documentation (e.g., I-9 verification, eligibility documentation, employment agreements).
- Maintains organized and secure personnel files in compliance with confidentiality and data security standards.
- Conducts periodic audits of HR files and records to ensure accuracy and completeness.
- Assists with background checks, reference checks, employment verifications, and pre-employment screening.
- Supports HR-led programs, trainings, employee engagement initiatives, and staff recognition activities.
- Performs additional HR administrative duties as assigned in support of department operations.
Qualifications
- Minimum of one (1) year of experience in Human Resources, administration, or equivalent education and experience.
- Strong organizational and time-management skills.
- Excellent interpersonal and communication skills with a compassionate and professional approach.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Proficiency with HRIS systems, Microsoft Office, and Google Workspace.
- Strong attention to detail and ability to follow through on assigned tasks.
Working Conditions
- Ability to sit for extended periods.
- Ability to walk up and down stairs and stand for extended periods.
- Ability to lift up to 20 pounds and assist with light physical tasks (e.g., setting up tables or chairs).
- Ability to perform job duties that may involve bending, twisting, or reaching.
