Key Responsibilities
1. Office & Administrative Management
- Handle day-to-day office coordination, correspondence, filing, and record keeping.
- Manage office supplies, facilities, and upkeep of IT/equipment.
2. HR & Staff Support
- Maintain attendance, leave records, and staff coordination.
- Support recruitment, on boarding, and employee welfare.
- Arrange staff travel, accommodation, and logistics (including visas if required).
3. Project Coordination & Documentation
- Assist with project-related documentation, permits, and tender submissions.
- Coordinate with clients, consultants, contractors, and government authorities.
- Maintain project drawings, contracts, approvals, and document control systems.
4. Compliance, Licensing & Legal Support
- Ensure timely renewals of licenses, insurances, and statutory documents.
- Maintain health, safety, and regulatory compliance records.
- Liaise with legal advisors/consultants for non-financial legal matters.
5. Client, Vendor & Public Relations
- Manage scheduling of meetings, follow-ups, and official correspondence.
- Act as liaison with government departments, local authorities, and utility service providers.
- Support company PR activities (social media updates, brochures, image-building initiatives if no dedicated marketing team).
6. Agreement Preparation & Records
- Draft and format agreements/contracts (with inputs from management/finance).
- Coordinate with legal teams, clients, and vendors to finalize documents.
- Maintain both physical and digital copies of all signed agreements.
7. Meetings & Minutes Management
- Organize management and project review meetings.
- Prepare and circulate Minutes of Meeting (MoM) to concerned parties.
8. Procurement & Logistics (Non-Technical)
- Handle procurement of general office and non-technical items (stationery, IT accessories, safety equipment, uniforms).
- Support coordination with Procurement/Engineering teams for technical materials (cement, steel, MEP items).
- Manage company vehicles, drivers, and logistics support.
9. Insurance & Staff Welfare
- Manage project insurance policies, staff medical insurance, and renewals.
- Support in employee safety and welfare-related documentation.
10. Facility & Asset Management
- Oversee maintenance of office buildings and site offices (cleaning, security, utilities).
- Maintain and update asset register (computers, printers, furniture, projectors).
11. Health, Safety & Environment (HSE) Support
- Support safety induction for new employees if no dedicated HSE team.
- Manage PPE (helmets, jackets, safety shoes) distribution and stock.
- Organize safety posters, awareness campaigns, and training sessions.

Pay: ₹12,000.00 - ₹25,000.00 per month
