1. Administration & Employee Record Management

  • HRIS/File Maintenance: Accurately update and maintain all employee records, both electronic (in the HRIS/ERP system) and physical files, ensuring data integrity and confidentiality for all staff, including site workers and office personnel.
  • Documentation Processing: Prepare, process, and file all HR-related documents, including employment contracts, warning letters, salary certificates, NOCs (No Objection Certificates), and internal memorandums.
  • Reporting: Assist the HR Officer/Manager in preparing regular and ad-hoc HR reports, such as headcount reports, attendance summaries, visa status reports, and leave balances.
  • Correspondence: Manage and respond to routine employee inquiries regarding HR policies, leaves, and basic benefits.

2. Government Relations & Visa Processing Support (PRO Support)

  • Visa/Labor Documentation: Assist in the coordination of all employment-related government formalities, including processing and tracking of employment visas, residence permits, labor contracts, and Emirates IDs for new hires and current employees.
  • Renewals & Cancellations: Proactively track and follow up on the expiry dates for employee visas, passports, labor permits, and health cards, coordinating with the Public Relations Officer (PRO) and employees to ensure timely renewals.
  • Medical & Insurance: Coordinate employee medical check-ups and assist in the enrollment and cancellation procedures for group medical insurance.

3. Recruitment & Onboarding

  • Recruitment Administration: Assist the recruitment team with administrative tasks, such as posting job advertisements, maintaining the applicant database, scheduling interviews, and communicating with candidates.
  • New Joiner Formalities: Prepare new hire folders, ensure all necessary onboarding paperwork is complete, and assist in conducting the initial HR orientation for new employees.

4. Payroll Support & Attendance

  • Time & Attendance: Collect, verify, and input daily and monthly time and attendance records, particularly for site-based labor, ensuring accuracy for payroll processing.
  • Leave Management: Process and track employee leave requests (annual leave, sick leave, etc.) and maintain accurate leave balance records.
  • Data Preparation: Assist in collating and submitting all necessary payroll data (new hires, terminations, leaves, bonuses) to the payroll department on a monthly basis.

5. Employee Relations & Compliance

  • Policy Communication: Assist in communicating company policies and procedures to employees, addressing basic queries to ensure a clear understanding.
  • Grievance Support: Support the HR team in documenting and tracking employee relations matters, grievances, and disciplinary actions, maintaining strict confidentiality.
