HR Assistant (Government Relations & Compliance)

Job Summary

We are seeking a highly organized and detail-oriented Public Relations Assistant to support our PR and Government Relations functions. This role is essential in ensuring smooth coordination with government authorities, timely processing of official documents, and maintaining compliance with UAE regulations. The ideal candidate will have strong experience in visa processing, government documentation, and administrative support within a fast-paced environment.

Key Responsibilities

Government Relations Support

  • Assist in preparing and submitting government-related documents (trade licenses, civil defense certificates, permits, etc.)
  • Maintain accurate and up-to-date records of all official documentation
  • Ensure timely renewal of licenses and permits
  • Liaise with government authorities to facilitate approvals and ensure compliance

Administrative Support

  • Provide day-to-day administrative support to the PR team
  • Schedule meetings, manage calendars, and maintain department files
  • Update and manage PR and government-related databases
  • Assist in preparing reports, presentations, and communications materials
  • Handle emails, phone calls, and correspondence

Visa Processing

  • Support PRO with visa applications, renewals, and cancellations
  • Track visa statuses and ensure timely processing
  • Coordinate medical tests and Emirates ID appointments
  • Assist with all government-related employee processes

Employee Relations

  • Respond to employee inquiries related to PR/government procedures
  • Support HR projects, training sessions, and internal initiatives

Compliance & Record-Keeping

  • Ensure adherence to UAE labor laws and regulations
  • Maintain confidentiality of sensitive information
  • Prepare HR-related documents, letters, and certificates
  • Track government submissions and follow up on approvals
  • Ensure all documentation is audit-ready and well-organized

Communication & Documentation

  • Maintain internal and external communication records
  • Ensure proper filing and accessibility of all documents

Reporting & Presentation

  • Prepare regular reports on PR and government-related activities
  • Present updates to management with insights and recommendations

Expense Management

  • Prepare and track PR-related expense reports
  • Ensure alignment with budgets and financial guidelines
  • Follow up on reimbursements and approvals

Requirements

Education:

  • Bachelor’s degree in Human Resources, Business Administration, or a related field (preferred)

Experience:

  • Proven experience as an HR Assistant, PRO Assistant, or Administrative Assistant
  • Strong experience in visa processing and government documentation in the UAE
  • Familiarity with HR systems (HRIS, ATS) is an advantage

Skills:

  • Excellent organizational and time-management skills
  • Strong communication (written and verbal)
  • High level of confidentiality and professionalism
  • Proficiency in Microsoft Office (Excel, Word, PowerPoint)

Job Type: Full-time

Pay: AED4,000.00 - AED5,500.00 per month

Work Location: In person
