Job Title: Associate - HR
Location: Ahmedabad (with occasional travel to other office locations)

About the Role

We are seeking a dynamic and detail-oriented HR Associate (Event Coordinator) to lead the planning and execution of internal and external events across our 22 offices, serving a workforce of approximately 2,000 employees. This role is ideal for someone who thrives in a fast-paced environment, enjoys working with cross-functional teams, and has a passion for creating memorable experiences.

Key Responsibilities

Event Planning & Execution

  • Plan, coordinate, and execute a variety of corporate events including:
  • Annual Day Celebrations
  • Festival Events (e.g., Diwali, Holi, Ganesh Chaturthi)
  • Employee Engagement Activities
  • CSR Initiatives
  • Townhalls and Leadership Meets
  • Collaborate with regional teams to ensure consistent event experiences across all office locations.
  • Develop event concepts, themes, and timelines aligned with company culture and goals.
  • Coordinate logistics including venue booking, travel, accommodation, and on-site arrangements.

Vendor Management

  • Identify, evaluate, and onboard reliable vendors for event-related services such as catering, décor, audio-visuals, printing, and logistics.
  • Negotiate pricing to ensure cost-effective solutions without compromising quality.
  • Maintain a vendor database and evaluate performance post-events for future reference.
  • Ensure timely delivery of services and manage vendor payments in coordination with the finance team.
  • Handle vendor escalations and resolve issues promptly to ensure smooth event execution.

Budgeting & Reporting

  • Prepare and manage event budgets, ensuring adherence to financial guidelines.
  • Track expenses and provide post-event financial reports and ROI analysis.
  • Maintain documentation of all event-related activities, contracts, and feedback.

Communication & Branding

  • Coordinate with the marketing and design teams for event branding, internal communication, and promotional materials.
  • Ensure brand consistency across all event touchpoints.

Qualifications

  • Bachelor’s degree in Event Management, HR, Mass Communication, Hospitality, or related field.
  • 2–4 years of experience in corporate event planning or employee engagement roles.
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal abilities.
  • Proficiency in MS Office and event management tools/platforms.

Preferred Skills

  • Experience managing multi-location events.
  • Creative mindset with attention to detail.
  • Ability to work under pressure and meet tight deadlines.

Job Types: Full-time, Permanent

Pay: ₹30,000.00 - ₹45,000.00 per month
