HR Benefits Coordinator
Position Purpose
This position provides essential administrative support to the Human Resources department, specializing in benefits administration, enrollment processing, and record integrity. This role serves as the primary point of contact for workers' compensation claims, requiring immediate, clear communication and strict confidentiality.
Responsible for reconciling, auditing, and processing high-volume vendor billing ($25 million annually). The role serves as the financial liaison between the HR Department, the Business Office, and external benefits carriers, ensuring accurate premium payments, enrollment integrity, and vendor compliance.
Essential Job Functions
Benefits Billing, Reconciliation and Support:

Onboarding & Enrollment: May lead orientation sessions for new hires and assist with annual Open Enrollment, ensuring all forms are accurate and processed in a timely manner.

Account Oversight: Reconciles HSA account data with the vendor to ensure prompt and accurate setup.

Perform monthly reconciliation of premium invoices from all benefits vendors against HRIS/payroll data.

Identify, investigate, and resolve discrepancies in billing invoices, including overcharges, premium errors, and missing employees.

Process and approve payments to insurance carriers and vendors, ensuring accurate account codes given frequent changes to cost codes driven by grants and funding in accordance with GAAP accounting principles.

Retiree Liaison: Processes invoicing and follows up on payments for district retirees.

General Inquiry Support: Acts as a resource for district staff regarding benefit questions, providing "back-up" support for the Benefits Specialist.
Workers' Compensation Coordinator:

Claims Management: Serves as the first point of contact for all workplace injuries; coordinates with employees and third-party partners (Paradigm, Concentra, JWF).

Tracking & Compliance: Maintains internal injury logs, monitors follow-up appointments, and compiles annual OSHA reporting.

Return-to-Work: Collaborates with supervisors and HR Generalists to determine work restrictions and necessary accommodations.
Data Integrity & Operations:

Audit & Quality Control: Performs regular audits across Payroll, Benefits, and HRIS platforms using advanced Excel functions (e.g., V-Lookups) to ensure data accuracy. Monitors vendor file feeds to ensure eligibility data is transmitted correctly and on time.

Digital Records Management: Scans, files, and maintains electronic personnel and medical records in compliance with privacy laws.

Administrative Support: Manages department billing/invoicing, assists with walk-ins.

Process Improvement: Reviews current processes and identifies opportunities to improve efficiency, timeliness, and data integration.

Review monthly billing for Workers' Compensation claims from the carrier to ensure accuracy and timeliness for closing cases.

Performs other duties as assigned.
Equipment:
Use standard office equipment, including personal computers, printers, copiers, fax machines, calculators, and telephones.
Travel Requirements:
May travel to various school buildings to assist staff with software assistance.
Pay Rate
$50,000 to $55,000

Knowledge, Skills, and Abilities

Technical Proficiency: Advanced skills in Google Workspace and Microsoft Office, specifically Excel (V-Lookups, pivot tables, and data validation).

Education

High school diploma or equivalent with five years of experience; Associate's or Bachelor's in HR or Business preferred.
Experience

Experience: 1 to 3 years in HR, payroll, or benefits administration. Special consideration given to experience with HRIS/Payroll platforms.

Proven Attention to Detail: Demonstrated experience managing databases or complex digital filing systems.
