HR Coordinator

We are looking for a well-rounded, experienced, and highly organized HR Coordinator to join our dynamic team in KSA. The ideal candidate should have a minimum of 7 years of hands-on HR experience, with a strong preference for those who have worked in the construction or contracting industry. This role demands a proactive professional who can independently manage HR operations across multiple project sites, ensuring smooth workforce administration, legal compliance, and strong employee engagement.

Key Responsibilities:

Employee Relations & General HR Operations

Serve as the primary point of contact for all employee-related matters at site level.

Actively handle employee grievances, disciplinary actions, and conflict resolution in a fair and transparent manner.

Conduct periodic site visits to monitor staff morale and ensure open lines of communication between workers and management.

Assist in the implementation of HR policies and ensure adherence across all levels.

Attendance & Timekeeping

Oversee and manage the daily attendance system for all site workers and staff.

Verify daily manpower at each project location, ensuring alignment with approved deployment plans.

Follow up with site supervisors and foremen on any inconsistencies or irregularities.

Maintain digital and manual timesheets for accurate payroll input.

Payroll & Timesheet Management

Collect, validate, and submit employee timesheets to the payroll department on time.

Track overtime hours, unpaid leaves, and deductions in coordination with site heads.

Address payroll-related queries and issues from employees.

Accommodation & Transportation Coordination

Monitor and manage company-provided accommodations to ensure hygienic and safe living conditions.

Coordinate room allocations, bed space planning, and movement of employees.

Liaise with the transport team to ensure timely pick-up/drop-off of staff to project sites.

Address and resolve transportation or accommodation-related complaints.

Recruitment & Onboarding

Support the recruitment process by coordinating with manpower suppliers and recruitment agencies.

Handle document collection, visa processing follow-ups, and medical test scheduling.

Conduct orientation programs for new joiners to ensure they understand company policies, site rules, and safety protocols.

Compliance & Legal Requirements

Ensure all employees have valid documentation including Iqama, work permits, and medical insurance.

Coordinate with PRO/administration for visa renewals, exit/re-entry, and final exits.

Maintain employee files in compliance with Saudi labor laws and internal audit standards.

Performance & Discipline Management

Monitor employee behavior and job performance; escalate issues to HR Manager when necessary.

Track warnings, penalties, and disciplinary records.

Support the annual performance appraisal process by gathering supervisor feedback.

Desired Candidate Profile:

Education & Qualifications:

Bachelor’s degree in human resources, Business Administration, or related field.

HR certifications (CIPD, SHRM, PHR) are an added advantage.

Experience:

Minimum 7 years of relevant HR experience, preferably in construction, contracting, or infrastructure projects.

Experience handling blue-collar workers, multi-site workforce, and manpower logistics is highly desirable.

Skills & Competencies:

Strong interpersonal and communication skills.

Fluent in English; Arabic is a plus.

Highly organized with excellent time management abilities.

Proficient in Microsoft Office (Excel, Word, Outlook); familiarity with HRIS is a plus.

Deep knowledge of Saudi Labor Law and local regulations.

Work Environment & Conditions:

Must be willing to work in remote or on-site construction environments.

Must be open to field visits and periodic travel between accommodation, head office, and project sites.

Willing to work extended hours or weekends during critical project phases.
