Position Summary:
This position assists with the coordination of the employee onboarding process and completes core HR tasks as required, which may include posting vacant positions, attending job fairs, making job offers, conducting background checks, personnel record keeping system, processing employee terminations and transfer, and managing the HR side for relicensures and monitoring. This position may handle high level HR tasks and provide back-up support to the HR Director and Senior HR Generalist.

Education: AA Degree or business school preferred; 2+ years related work experience; computer literacy including word processing/spreadsheet.
Physical Requirements: Ability to bend, stand, lift, and carry 25 pounds.
HR Specific job responsibilities include but are not limited to:
On-boarding:

Back up for the low volume prevention programs, to include offers, onboarding, terms, and organizational charts.

Back up for recruitment activities: including posting, advertising, recruiting, and attending job fairs.

Back up for the Live-Scan for Level 2 federal background screen fingerprint machine for new hires, volunteers/interns and current YFA staff who require reprinting for 5-year re-screens.

Uploads and tracks education, driver’s license, and certifications in the HRIS database.
Personnel Document Management:
-
Oversees personnel file maintenance, including utilization of checklists & spreadsheets to ensure that files are current.

Update and organize employee job descriptions and ensure that updated job descriptions are available to all employees on SharePoint.
- Tracks and communicates probationary performance evaluations that are due, following up to ensure that evaluations have been completed timely, and if not, reporting to program management which evaluations remain outstanding.

Responsible for the organization, coordination, and accurate maintenance of personnel files, including preparation of files for audit/QI purposes for all relicensures and monitoring for HR related items.

Assists with the oversight of employee paperwork sent to supervisors for completion or return, such as auto insurance requests, driver’s licenses, five-year background re-screens, updated HR forms, plans and handbook; and ensures that all personnel files are accurate and complete.

Handles annual certification renewals for Case Managers and ensures timely renewal and payment.
General HR Responsibilities:

Assists with the organization, coordination, and daily workflow of HR tasks.

Conducts other duties as assigned by immediate supervisor or management.

Manage DCF required trainings annually, creating events, tracking completion, and ensure all updated trainings are completed annually.

Assist with the backlog of items to ensure items have been scanned in and saved properly, prior to archiving files.

Lead on all relicensure/monitoring to collect information from various departments to ensure items are provided timely and accurately.
