Detailed Description of Main Tasks and Responsibilities
- Manage daily HR operations including attendance, registers, work plan updates, leave management, and HR time office software.
- Monitor security gate operations including employee entry, security staff attendance, cab arrivals, and verification of contract labour attendance.
- Supervise and guide HR & Admin team members to ensure proper attendance and leave management processes.
- Manage end-to-end recruitment including sourcing, screening, interviews (virtual and direct), offer follow-up, medical examinations, and appointment formalities.
- Conduct background verification and validate employee credentials before onboarding.
- Manage onboarding, induction, joining formalities, factory tours, accommodation, transportation, and exit interview processes.
- Maintain employee master data, create and update personal files, and verify KYC and supporting documents.
- Oversee HRMS/HRMIS administration and ensure accuracy of employee data and reports.
- Prepare and maintain HR reports including MIS, QMR, work plans, daily activity reports, and MOM.
- Oversee contract labour deployment, compliance, and coordination with manpower suppliers.
- Coordinate manpower requirements with vendors as per operational needs.
- Verify vendor bills and ensure timely processing in coordination with Accounts.
- Manage vendor agreements and maintain vendor relationship records.
- Coordinate and monitor canteen operations ensuring food quality, hygiene, and cost control.
- Manage visitor records, vendor entry registers, and related documentation.
- Liaise with government authorities including sanitary inspectors, panchayat offices, and employment exchanges for statutory compliance.
- Ensure timely submission of statutory returns and maintenance of statutory registers.
- Review compliance records including monthly medical examinations, committee meetings, and statutory documentation.
- Organize medical camps, employee health monitoring programs, and factory doctor visits.
- Conduct mock drills and coordinate safety awareness activities.
- Supervise factory security operations including security personnel, access control, CCTV monitoring, and asset protection.
- Oversee Environment, Health, and Safety (EHS) compliance and conduct regular inspections.
- Coordinate employee performance appraisal processes with departmental heads and maintain documentation.
- Implement, update, and maintain HR & Admin SOPs and ensure training compliance.
- Manage official correspondence, departmental documentation, and record keeping.
- Verify attendance data and coordinate with Accounts for accurate and timely salary processing.
- Ensure confidentiality and proper maintenance of all employee and statutory records.
Qualification
- Master’s Degree (MBA / PGDM/ MLM/ MPM&IR / MSW – HR) preferred.
- Labour law or industrial relations certification is an added advantage.
- Certified HR management professionals are preferred.
Experience
- 3–7 years of experience in HR & Admin functions.
- Minimum 2–3 years of experience in Pharmaceutical / Manufacturing industry Mandatory.
