Role Overview
The HR Executive/Manager will be responsible for end-to-end HR functions including talent acquisition, onboarding, performance management, employee engagement, payroll coordination, compliance, and supporting manpower planning for large-scale events. The role requires someone who understands the fast-paced nature of the events industry, can work under tight timelines, and ensure teams are always staffed, trained, and aligned.
Key Responsibilities
1. Talent Acquisition & Hiring
- Manage full-cycle recruitment for event roles: operations, production, creatives, sales, client servicing, hospitality, logistics, on-ground manpower, etc.
- Source candidates through job portals, LinkedIn, references, colleges, and industry networks.
- Screen resumes, conduct interviews, and schedule final rounds with department heads.
- Build a strong database of freelancers, promoters, hosts/hostesses, supervisors, and technical staff.
- Ensure quick turnaround hiring for urgent event requirements.
- Develop recruitment strategies to reduce cost-per-hire and improve talent quality.
2. Onboarding & Induction
- Prepare offer letters, appointment letters, NDAs, and other HR documents.
- Conduct structured joining formalities and induction for new hires.
- Align employees with company culture, policies, and processes.
3. Attendance, Payroll & Compliance
- Maintain attendance, leave records, and overtime logs for event staff.
- Coordinate with accounts team to process monthly payroll.
- Ensure compliance with labour laws, contracts, vendor documentation, PF/ESIC (if applicable).
- Manage external vendors for temporary staffing.
4. Performance Management
- Assist in setting KRAs for each department (events, production, sales, operations).
- Track monthly performance and share reports with management.
- Support yearly appraisals, promotions, and skill assessments.
5. Employee Engagement & Culture
- Plan engagement activities, team-building sessions, and employee welfare programs.
- Resolve grievances and maintain a positive work environment.
- Improve retention by ensuring employee satisfaction and prompt issue resolution.
6. HR Operations & Admin
- Maintain employee files, HRMIS, and documentation.
- Create and update HR policies, SOPs, HR forms, and process manuals.
- Support manpower allocation for events, exhibitions, and international groups.
- Coordinate travel, stay, and logistics for staff during events (if required).
Skills & Competencies
- Strong communication and people skills.
- Ability to multitask under pressure and meet tight event deadlines.
- Knowledge of HR laws, compliance, and HR best practices.
- Experience in hiring large numbers of event staff.
- Proficiency in MS Office, Google Workspace, HRMS tools.
- Problem-solving, negotiation, and conflict management abilities.
Educational & Experience Requirements
- Bachelor’s/Master’s degree in HR, Business Administration, or related fields.
- 2–6 years of HR experience (preferably in Events, MICE, Hospitality, or Media).
- Experience in mass hiring, coordination, and on-ground event HR is a plus.
