1. Recruitment & Onboarding

  • Manage end-to-end recruitment process including job posting, candidate screening, interview scheduling, and selection coordination.
  • Prepare and issue offer letters, appointment letters, and internship confirmation letters.
  • Coordinate with department heads to identify staffing needs and job requirements.
  • Maintain candidate records and update recruitment trackers on time.
  • Conduct employee orientation and ensure smooth onboarding for new hires, interns, and consultants.
  • Create and maintain induction materials and manage induction schedules.

2. Employee Documentation & Record Management

  • Prepare and maintain complete employee files (soft & hard copies)
  • Ensure timely uploading and organization of employee data in the Document Management System.
  • Manage and track renewals of contracts, internships, and consultant agreements.

3. HR Operations

  • Update and manage daily HR sheets (attendance, onboarding, contract renewals etc.).
  • Prepare experience letters, internship completion letters, and other HR-related correspondence.
  • Ensure timely completion of payroll-related documentation and employee confirmations.
  • Handle employee offboarding: clearance forms and account closure coordination.

4. Performance & Evaluation

  • Assist supervisors in preparing appraisal forms and evaluation reports.
  • Ensure timely collection and filing of performance appraisal documents.
  • Support HR management in data analysis and report generation related to employee performance.

5. Communication & Coordination

  • Draft, review, and send professional emails to employees and other departments.
  • Act as a communication bridge between HR and other departments for policy updates, onboarding, or system access.
  • Respond to employee queries related to HR policies, attendance, and documentation.
  • Communicate with management regarding HR updates, reports, and compliance needs.

6. Administrative Support

  • Oversee office administration tasks such as attendance tracking and asset allocation.
  • Coordinate logistics for meetings, interviews, and HR events.
  • Maintain updated contact lists and assist in organizing company events and trainings.
  • Ensure office policies are properly implemented and maintained.

7. Compliance & Policy Implementation

  • Ensure HR policies and procedures are implemented according to company standards.
  • Maintain confidentiality of employee information and ensure data protection compliance.
  • Support audits by providing accurate HR records and reports on request.
  • Keep updated with labor laws and company HR policies to ensure adherence.

8. Reporting & Analysis

  • Prepare daily,weekly and monthly HR reports, including:
  • New hires and exits
  • Tasks Reports
  • Attendance and leave summaries
  • Contract updates
  • Recruitment status reports
  • Present HR insights and statistics to management for informed decision-making.

9. Additional Tasks (Octacer Specific)

  • Handle signatory tasks and ensure documents are properly signed by authorized personnel.
  • Act as backup support for supervisors during absence.
  • Participate in process improvement, employee engagement, and HR coordination projects.
  • Collaborate with cross-functional team to align HR and administrative functions with company goals.

Job Type: Full-time

Pay: Rs50,000.00 - Rs70,000.00 per month
