Job Purpose
The HR Operations Officer is responsible for managing and supporting day-to-day HR operations of the University, ensuring effective implementation of HR policies, smooth employee lifecycle management, payroll coordination, leave administration, and compliance with applicable labor laws and university regulations.
Key Responsibilities
HR Operations & Administration

Manage end-to-end employee lifecycle activities including onboarding, probation, confirmation, transfers, and exit formalities.

Maintain accurate and up-to-date employee records (both physical files and HRMS).

Prepare and issue HR documents such as offer letters, employment contracts, confirmations, warnings, NOCs, experience letters, and other official correspondence.

Coordinate employee onboarding and orientation programs.
Payroll & Benefits Coordination

Coordinate with Finance/Payroll team for monthly payroll processing.

Ensure accuracy of attendance, leaves, overtime, deductions, and allowances.

Administer employee benefits including medical insurance, leave entitlements, gratuity, and end-of-service benefits.

Handle employee payroll and benefits-related queries professionally and confidentially.
Leave & Attendance Management

Monitor and manage employee attendance and leave records.

Ensure leave administration is in line with university policies.

Generate monthly attendance and leave reports.
HR Policies & Compliance

Ensure compliance with university HR policies, procedures, and code of conduct.

Assist in the implementation, communication, and updates of HR policies.

Ensure adherence to local labor laws and regulatory requirements.

Support internal and external HR audits when required.
Employee Relations

Act as the first point of contact for employee HR-related concerns.

Support grievance handling, disciplinary procedures, and employee counseling.

Promote a positive and professional work environment across the university.
HR Reporting & Systems

Prepare HR reports related to headcount, turnover, leave, and payroll.

Maintain accurate HR data within HRMS.

Support HR data analysis and management reporting.
Qualifications & Experience

Bachelor’s degree in human resources, Business Administration, or a related field.

Minimum
3–5 years
of experience in HR Operations (experience in a university or educational institution is an advantage).

Good knowledge of HR best practices and labor laws.

Experience working with HRMS and payroll systems.

Bilingual in Arabic and English (must)
