HR, Payroll & Benefits Administrator

Job Overview
We are seeking a detail-oriented HR, Payroll & Benefits Administrator to support the day-to-day human resources, payroll, benefits, accounting, and office operations of our Minnesota-based business. As a key member of our small team of approximately 15 employees, this role offers broad exposure across multiple business functions and requires a hands-on professional who is comfortable managing a wide range of responsibilities.

This position plays a critical role in ensuring accurate payroll processing, employee benefits administration, accounts payable and receivable functions, regulatory compliance, and general office management. The position will serve as a trusted internal resource, helping ensure smooth operations across the organization while supporting both employees and leadership.

The ideal candidate will possess strong organizational skills, accounting knowledge, and experience in payroll, employee benefits, HR administration, and office operations. Success in this role requires the ability to manage competing priorities, work independently, and adapt to the diverse needs of a growing small business.

Responsibilities

  • Coordinate new employee onboarding, administer terminations, and maintain personnel records.
  • Manage bi-weekly payroll processing using Paychex Flex, ensuring timely and accurate salary disbursements
  • Maintain employee handbook and investigator manual; update as needed.
  • Ensure compliance with federal and Minnesota employment regulations.
  • Administer employee benefits programs including health and dental insurance, disability, HSA, retirement plans, and leave policies with attention to detail and compliance
  • Perform data entry related to payroll, benefits, and HR transactions with precision using QuickBooks
  • Reconcile accounts related to payroll and benefits, including general ledger reconciliation and account analysis
  • Administer company insurance programs including auto insurance, cyber liability, general liability, professional liability, & workers’ compensation
  • Process accounts payable and receivable transactions related to employee reimbursements and vendor payments
  • Process sales and use tax filings for Minnesota, Iowa, and South Dakota.
  • Coordinate with the company accountant regarding tax filings and financial reporting.
  • Assist with annual audits by preparing documentation on payroll, benefits, and accounting records

Qualifications

  • Minimum 3 years of experience in human resources, payroll, office administration, accounting, or a related role.
  • Experience processing payroll and administering employee benefits.
  • Working knowledge of QuickBooks.
  • Proficiency with Microsoft Excel & Word.
  • Understanding of basic accounting principles, including debits and credits.
  • Ability to interpret financial statements, including income statements and balance sheets.
  • Knowledge of Minnesota employment laws and leave programs.
  • Strong organizational, communication, and problem-solving skills.
  • Ability to manage confidential information with discretion and professionalism.
  • Experience working with small business operations is a plus!

Pay: $33.00 - $36.00 per hour
