HR & Payroll Coordinator

Location: Onsite (Pewaukee, WI)
Status: Non-Exempt
Reports To: Payroll & Benefits Director
Travel: 10–15%*
Direct Reports: None

Position Summary

The HR & Payroll Coordinator is a new role that expands our ability to provide exceptional HR and payroll support across the organization. This position blends accurate payroll processing with hands-on involvement in recruiting, onboarding, benefits administration, and safety reporting. Because this is a newly established role, you’ll have the opportunity to influence processes, build relationships at multiple locations, and contribute to a more connected and supportive employee experience.

Responsibilities

Payroll (Primary Function)

  • Assist with weekly and biweekly payroll processing across multiple states and divisions.
  • Enter, audit, and maintain employee payroll data in the HRIS.
  • Review timecards for accuracy and compliance with wage-and-hour laws and company policies.
  • Verify new hire and employee change information including tax forms, pay adjustments, deductions, and direct deposit.
  • Provide onsite payroll and HR support to multiple locations as needed.
  • Respond to payroll-related questions and escalate complex issues as appropriate.
  • Support payroll reporting, wage audits, garnishments, and required documentation.
  • Assist with year-end processes including W-2 preparation and reconciliations.

HR Support

Recruiting

  • Assist with job postings, applicant screening, and interview coordination.
  • Communicate with candidates and hiring managers to support a smooth and timely hiring process.

Onboarding

  • Prepare and collect new hire documentation and ensure accurate HRIS entry.
  • Support I-9 processing, E-Verify, and multi-state onboarding compliance.
  • Assist with assigning onboarding tasks and required training within the LMS and HRIS.

Workers’ Compensation & Safety

  • Assist with first report of injury reporting in accordance with state requirements.
  • Support OSHA recordkeeping, including maintaining annual OSHA 300/300A logs.

General HR & Projects

  • Support HR audits, data clean-up, and compliance initiatives.
  • Maintain personnel files and digital recordkeeping standards.
  • Assist with HR and payroll-related projects, process improvements, and system updates.

Benefits Administration

  • Assist with open enrollment support and employee communication.
  • Manage benefit eligibility for new hires, terminations, and life events.
  • Reconcile monthly benefit invoices and identify discrepancies.
  • Manage and administer COBRA in compliance with company policy and applicable state and federal laws.
  • Respond to employee benefit inquiries and support related documentation needs.

This position may include additional responsibilities that align with the overall scope of the role and contribute to the continued success of the department. These tasks are designed to support evolving business needs and provide opportunities for skill development and professional growth.

Qualifications

  • 1–2 years of experience in payroll or HR; payroll experience strongly preferred.
  • Working knowledge of HRIS or payroll systems (UKG preferred).
  • Strong attention to detail, accuracy, and confidentiality.
  • Excellent organizational and communication skills.
  • Ability to work independently while contributing to a collaborative HR and payroll team.

Working Conditions

  • Onsite position based in Pewaukee, WI.
  • Standard office environment with extended periods of computer use.
  • Requires handling confidential employee information with discretion.
  • Travel required up to 10–15% for onsite support, meetings, events, and training; most travel is day travel with limited overnights.
  • Travel Notes: Primarily day travel with limited overnights; includes onsite support for multiple locations, company meetings, events, and training.
