INTRODUCTION
Under the supervision of the Senior Director of Human Resources, the HRIS Specialist supports the day-to-day operation, maintenance, and accuracy of the Human Resources Information System (HRIS). This role is responsible for data entry, auditing, reporting, and user support to ensure HR data integrity and effective system utilization. The HRIS Specialist partners with HR, Payroll, Finance, and other internal stakeholders to support HR operations, compliance, and reporting needs in alignment with organizational goals.
MAJOR DUTIES/ESSENTIAL FUNCTIONS

Maintains accurate employee and position data within the HRIS.

Processes employee and position changes, including creation, movement, updates, and terminations, in accordance with established guidelines.

Audits Employee Change Forms and system records for accuracy, completeness, and compliance with approvals and policies.

Performs routine HRIS audits to ensure data integrity, compliance, and consistency.

Inputs and updates employee records and position data in a timely and accurate manner.

Generates standard and ad hoc HR reports related to workforce data, recruitment, compensation, benefits, training, and HR operations.

Assists with data extraction and reporting for internal reviews, leadership requests, and organizational audits.

Supports the development and maintenance of standard reports and audit queries to proactively monitor data accuracy.

Assists in preparing dashboards and summaries to support HR decision-making.

Provides HRIS support to HR staff, Payroll, Finance, and other internal users.

Assists with system testing related to HRIS upgrades, patches, or enhancements.

Troubleshoot basic system issues and escalate more complex problems as appropriate.

Assists in maintaining documentation, job aids, and procedural guides related to HRIS processes.

Provides end-user training and guidance on HRIS processes and functionality as assigned.

Supports compliance with HR policies, regulatory requirements, and organizational guidelines through accurate system maintenance.

Communicates effectively with HR, Payroll, Finance, and management to resolve data discrepancies and support HR operations.

Assists with special projects related to HR data, reporting, or system improvements as assigned.

Performs other duties as assigned by management.
QUALIFICATIONS

Bachelor’s degree in Information Technology, Human Resources, Business Administration, or a related field.

Minimum of 2–3 years of experience supporting or administering an HRIS, preferably ADP Workforce Now.

Experience with HR data entry, auditing, and reporting.

Strong attention to detail and ability to manage multiple tasks and deadlines.

Demonstrated ability to analyze data and identify discrepancies or trends.

Effective written and verbal communication skills.

Ability to handle sensitive and confidential information with discretion.

Experience in healthcare, non-profit, or Federally Qualified Health Center (FQHC) environments preferred.

Familiarity with HR policies, position control processes, and payroll-related data.

Experience supporting HRIS reporting, audits, or system upgrades.
PHYSICAL REQUIREMENTS
Requires no heavy lifting, and nearly all work is performed in an office environment. Specific vision abilities required by this job include close vision and ability to adjust focus. Frequently required to sit, use hands/fingers to handle or feel, and talk/hear. Requires critical thinking, organizational, decisive judgment, communication, good customer service skills. Must be able to handle multiple tasks, be able to work in a stressful environment and take appropriate actions as needed. Must always follow Unity Healthcare and departmental policies and procedures.
