The Human Resource Executive will lead and direct the routine functions of the Human Resources (HR) department including hiring and interviewing staff, administering pay, benefits, and leave, and enforcing company policies and practices. The HR Executive is the main person who will promote unity, teamwork, and peace between each employees and departments in the company.
Supervisory Responsibilities:
- Recruits, interviews, hires, and trains new staff in the department.
- Oversees the daily workflow of the HR department.
- Provides constructive and timely performance evaluations for all employees.
- Handles discipline and termination of employees in accordance with company policy.
- Handles company asset inventory, management, maintenance and cancellations.
- Handles team building, events, trainings and recreation of all employees’ welfare.
Duties/Responsibilities:
· Monthly/periodic meeting with CEO, CFO, COO to discuss various issued within the company and action plan and changes when necessary.
· Managing monthly staff meeting and recording of minutes as well as disseminating to employees after the meeting.
· New Employee Hiring, Placement and Training – this includes placement of Ads for vacancy in various outlets (Indeed, LinkedIn, etc.); shortlist applicants, contacts them for initial HR interview, screen applicants for department managers interview, provides written qualification exam before the final CEO interview; welcoming new employee to the team with trainings, briefings and ensuring that new employee understand all policies of the company before start of joining date.
- Write and deliver presentations to the employees regarding human resources policies and practices. Regularly updating HR Employee Handbook according to present situation. Remind employees on regular basis and providing group or individual training when required.
- Respond to inquiries/clarification regarding employee handbook, policies, procedures, and programs of the company.
- Prepare, update, maintain video/PowerPoint trainings for employees (new/old).
- Organize various other paid and free trainings, seminars, conferences for employees. Organize birthdays of each employees, company anniversary and other celebrations that may come.
- Organize in-house training of employees with coordination of each department heads of the topics and training materials
- Plan, schedule and supervise team buildings & team celebrations.
- Administer performance review program to ensure effectiveness, compliance, and equity within organization.
- Identify and be updated of the legal requirements and government reporting regulations affecting human resources functions and ensures policies, procedures, and reporting are in compliance.
- Maintain various HR document templates (offer letter, job description, warning letter, etc.)
- Maintain, follow, update all HR procedures
- Maintain the work structure by updating job requirements and job descriptions for all positions.
- Plan and conduct employee orientation/ re-orientation to foster positive attitude towards Company goals.
- Manage benefits programs such as life, health, saving plans, vacation, sick leave, leave of absence, and employee assistance.
- Prepare budget of human resources operations annually including recruitment, renewals, mobile plans, staff entertainment, trainings, etc.
- Maintain staff job results by counseling and disciplining employees; planning, monitoring, and appraising job results. Setting up KPI for each employee with coordination of management heads.
- Ensure planning, monitoring, and appraisal of employee work results by training managers to coach and discipline employees;
- Hearing and resolving employee grievances between employees and departments; counseling employees and supervisors, counseling each department.
- Advise management in appropriate resolution of employee relations issue.
- Maintain proper database, history, analysis, and communication of records required by law or local governing bodies and by the management of the company in the PMS.
- Ensure complete employee’s profile data in the PMS and update it on regular basis (residential address, personal mobile number, emergency contact person in the UAE & home country, trainings attended, etc.)
- Keep records of all current and ex staff offer letters, employment contracts, full personal data, benefits, saving plan, personnel transactions such as promotions, transfers, performance reviews, and terminations, and employee statistics for management reporting.
- Maintain historical human resource records by designing a filing and retrieval system; keeping past and current records.
- Prepare employee separation notices and related documentation, and conducts exit interviews to determine reasons behind separations.
- Prepare reports and recommend procedures to reduce absenteeism and employee turnover.
- Read, analyze, and interpret the most complex documents. Respond effectively to the most sensitive inquires or complaints.
- Ensure to uphold top quality employment & longer tenure of all employees.
- Ensure the renewal of Corporate mobile plans for the employees.
- Manage Inventories (Laptops, mobiles, sim of the employees)
- Coordination and communication with the IT team, other Suppliers.
- Assist any departments (Finance, Operations, HR, CEO) when required for/by the clients.
- Promote, initiate, maintain the unity, teamwork and peace in the work place between each employees/department.
- Uphold strong professionalism, calmness and positivity at all times.
