Position Description:
We are seeking a meticulous File Administrator to manage, organize, and digitize confidential employee records. This role plays a critical part in maintaining accurate and secure HR documentation, ensuring compliance with company policies and legal requirements.
ESSENTIAL FUNCTIONS:
Organize and maintain physical and digital HR files, ensuring proper classification and easy retrieval.
Scan, digitize, and upload physical documents into the companys HRIS or document management system.
Ensure all employee records are up-to-date, accurate, and stored securely in compliance with data privacy regulations.
Track and manage file retention schedules, archiving or disposing of documents as appropriate.
Respond to internal HR file requests in a timely and confidential manner.
Perform regular audits of employee files to ensure compliance with internal policies and legal standards.
Support the HR team with administrative tasks as needed, including onboarding and offboarding documentation.
Maintain confidentiality and discretion in handling sensitive employee information.
REQUIREMENTS & COMPETENCIES:
Ability to work independently and as part of a team
Maintaining and organizing files, records, and documents in digital and physical formats for easy access and retrieval.
Manage document scanning and digitization tasks to convert paper files into electronic formats.
Manage file boxes and ensure proper labeling and storage.
Perform e-filing tasks to keep digital records updated and well-organized.
Strong communication skills to coordinate with team members.
Ability to handle confidential information with integrity and professionalism.
EDUCATION / WORK REQUIREMENTS:
High school diploma or equivalent
Prior experience with large volume of file management responsibilities.
Proficient computer skills, including Microsoft Office Suite
Highly organized multitasker who works well in a fast-paced environment
Excellent time management and written and verbal communication skills
LANGUAGE SKILLS:
Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or
governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively
present information and respond to questions from groups of managers, clients, customers, and the general public.
REASONING ABILITY:
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited
standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
Ability to use discretion and exhibit high level of confidentiality.
