SUMMARY OF DUTIES
This position provides administrative support for the Office of Human Resources within the Department of Corrections. Duties will include the following:
- Excellent communication and interpersonal skills are necessary, as this position will require frequent contact with employees, union officials, external agency personnel, and the public.
- The ability to exercise the utmost discretion and professional judgment when dealing with sensitive or confidential information
- The ability to multi-task in a busy atmosphere with frequent interruptions and distractions
- Must be detail-oriented with attention to thoroughness and accuracy
- Data entry into the HR Access database
- Screen documents for accuracy and follow up as needed
- Create, organize, store and retrieve paper and electronic files
- Maintain paper and electronic filing systems and records
- File as well as remove hard copy documents from personnel files
- Prepare correspondence and documents for signature
- Copy, scan, and send correspondence and documents to various individuals via email, interoffice mail, and US mail
- Hand carry correspondence and documents to and from other offices within walking distance
- Schedule and maintain HR calendar
- Assist visitors/callers, answer phone, respond to inquiries, take messages
QUALIFICATIONS
- High School Diploma/GED
- Prior secretarial or administrative/office support experience
- Ability to type at least 40 words per minute
- Proficiency with Microsoft Word and Outlook, Access, and Excel
- Experience with using modern office equipment (i.e., copier/scanner)
- MUST BE ABLE TAKE INITIATIVE AND WORK INDEPENDENTLY AS WELL AS TAKE DIRECTION AND WORK WITH OTHERS
- EXCELLENT COMPUTER SKILLS REQUIRED
Job Type: Contract
Pay: $20.00 - $21.00 per hour
Expected hours: 35 per week
