Position Overview
Key Responsibilities
Recruitment & Hiring Support
- Assist with drafting and posting job descriptions and job advertisements.
- Pre-screen applicants and coordinate candidate interviews.
- Support hiring managers and HR leadership throughout the recruitment process.
- Maintain applicant tracking records and recruitment documentation.
Compliance & Employee Records
- Maintain accurate and confidential personnel files and HR documentation.
- Track and coordinate required Level 2 background screenings.
- Enter and maintain employee data in required government systems including Florida Department of Revenue new hire reporting.
- Process employment eligibility verification through E-Verify.
- Ensure HR documentation complies with applicable federal, state, and local labor laws.
- Track and organize all HR-related documentation including onboarding records, compliance forms, and certifications.
Leave Administration Support
- Assist with tracking employee leave requests including FMLA and other applicable leave policies.
- Maintain documentation and internal tracking related to employee leave.
- Support HR leadership in communicating leave procedures and documentation requirements.
Benefits Administration Support
- Assist employees with benefits selections and enrollment.
- Provide administrative support during annual open enrollment.
- Maintain benefits documentation and coordinate with HR leadership and benefits providers as needed.
HR Administrative Support
- Maintain HR databases, spreadsheets, and employee records with high accuracy.
- Track employee training requirements and compliance certifications.
- Monitor and track HR-related deadlines including compliance filings, documentation renewals, and required trainings.
- Assist with onboarding logistics including scheduling orientations and preparing new hire documentation.
- Support HR leadership with labor law updates and compliance tracking.
General HR Support
- Provide administrative support to the HR department.
- Assist with HR projects and organizational initiatives.
- Support employee communications and internal HR processes as needed.
Qualifications
Education
- Bachelor’s degree in Human Resources, Business Administration, or related field preferred
- Associate degree with relevant HR experience will also be considered
Experience
- 2+ years of administrative or HR support experience preferred
- Experience supporting recruitment, onboarding, or HR compliance
- Experience in nonprofit or human services organizations is a plus
Certifications (Preferred)
- aPHR, PHR, or SHRM-CP certification preferred
Knowledge & Skills
- Basic understanding of FMLA and employment law
- Familiarity with background screening compliance
- Experience with E-Verify and new hire reporting systems preferred
- Basic understanding of employee benefits administration
- Strong attention to detail and accuracy
- Excellent organizational and record-keeping skills
- Ability to manage confidential information with discretion
- Strong communication and interpersonal skills
- Proficiency in Microsoft Office and HRIS systems
