Human Resources Coordinator

We’re currently looking for an HR Coordinator to join our team at a manufacturing, onsite, unionized plant—this is a confidential search, with company details shared during the interview process. This is a hands-on, highly operational role supporting a fast-paced workforce.


You’ll be at the heart of HR activities—leading recruiting efforts, supporting employees, and helping ensure critical processes run smoothly, with a strong emphasis on safety and compliance.


Responsibilities:

  • Coordinate recruiting activities for open positions, including updating job postings, responding to applicants, scheduling interviews, facility tours, and testing and conducting reference checks as directed.
  • Support tracking and documentation of employee training and work assessments. (safety, harassment prevention, and required compliance training).
  • Conducts background checks and employment eligibility verification (I-9 and E-Verify) in accordance with company procedures.
  • Prepare draft offer letters and coordinate communication between candidates, hiring managers, and HR leadership.
  • Support new hire onboarding and orientation logistics, including paperwork and systems access
  • Maintain and update the company message board and other internal communication channels with announcements, policy updates, safety messages, and HR-related information
  • Coordinate and schedule safety training for all employees, including tracking completion, sending reminders, maintaining training rosters, and preparing training reports.
  • Respond to routine HR inquiries from employees and supervisors and route more complex issues to a supervisor.
  • Provide administrative support for HR processes (personnel file maintenance, data entry in HRIS, report generation, scheduling meetings.
  • Assist with maintaining HR records to support compliance with company policies, union contract provisions, and applicable laws.
  • Assist with employee relations and disciplinary processes by arranging meetings, preparing documentation, including translating, and taking notes as needed.
  • Track and report employee attendance weekly, monthly, and annually, including maintaining accurate records and preparing summaries for the leadership teams.
  • Track and support the probationary period for union employees by monitoring key dates, maintaining accurate records, and preparing status updates.
  • Support the administration of employee leaves of absence (including medical, disability, and other leaves) by helping with paperwork, tracking dates, scheduling return to work processes, and coordinating communication under the direction of a supervisor.
  • Assist with special HR projects and perform other related duties as assigned.
