Position Overview

Carolina ABA is seeking a dedicated and organized HR & Operations Coordinator to support the daily operations of our clinic. In this vital role, you’ll help maintain a positive, efficient, and compliant work environment by overseeing HR functions, coordinating staffing needs, and ensuring smooth clinic operations. This position is ideal for someone who thrives in a hands-on, team-oriented setting and enjoys making a meaningful impact each day.

Key Responsibilities

  • Open and prepare the clinic each morning to ensure a welcoming and organized environment.
  • Recruit, hire, and onboard Registered Behavior Technicians (RBTs) to meet client and referral needs.
  • Conduct new hire orientations and assist with ongoing training coordination for clinical staff.
  • Manage staff schedules to align with client treatment times and ensure coverage.
  • Partner with BCBAs to verify that all client documentation (diagnostic reports, intake forms, consents, etc.) is current and complete.
  • Submit and track prior authorizations for treatment through private insurance and Medicaid.
  • Conduct weekly clinic walkthroughs to maintain cleanliness, safety, and compliance with all standards.
  • Manage supply orders and inventory to ensure the clinic is always well-stocked.
  • Serve as the first point of contact for HR and operational questions, coordinating timely resolutions.
  • Support HR processes, including employee relations, compliance tracking, and accurate recordkeeping.

Qualifications

  • Proven ability to work independently and take initiative with minimal supervision.
  • Experience working with funding sources (private insurance, Medicaid) and managing ABA treatment authorizations.
  • Previous experience in ABA, behavioral health, or healthcare administration strongly preferred.
  • Excellent organizational, communication, and problem-solving skills.
  • Professional, compassionate demeanor with a genuine passion for supporting children and families.

Job Type: Full-time

Pay: $20.67 - $24.04 per hour

Expected hours: 40 per week
