Job Title: HR Assistant – Payroll

Reports To: HR & Administration Manager / Payroll Officer

Job Purpose:

To assist in the preparation, verification, and processing of payroll for employees in compliance with company policies, labor laws, and project-specific requirements. The role supports the HR and Finance teams to ensure accurate and timely salary disbursement and payroll-related reporting.

Key Responsibilities:

Payroll Administration:

  • Collect, verify, and input employee attendance, overtime, leave, and allowance data for payroll processing.
  • Assist in preparing monthly payroll in coordination with the Payroll Officer and Finance Department.
  • Ensure accuracy of salary computations, deductions (loans, advances, insurance, etc.), and benefits.
  • Support in processing final settlements, gratuities, and end-of-service benefits for departing employees.
  • Maintain confidentiality of payroll information and employee records.

HR Data & Documentation:

  • Update and maintain HR and payroll databases with employee information (new hires, transfers, terminations).
  • Prepare monthly headcount, overtime, and manpower cost reports.
  • Assist in maintaining employee personal files and digital HR records in compliance with company standards.
  • Liaise with site administrators to collect timesheets and attendance records for onshore/offshore employees.

Compliance & Coordination:

  • Ensure payroll compliance with UAE/GCC labor laws and company policies.
  • Coordinate with Finance for salary transfers, payslips, and payroll reconciliations.
  • Support HR audits and provide necessary payroll documentation as required.
  • Handle basic employee queries related to payroll, attendance, and benefits.

Qualifications & Experience:

  • Bachelor’s Degree in Human Resources, Accounting, or Business Administration.
  • 2–4 years of experience in HR or Payroll, preferably in the Oil & Gas / EPC / Construction sector.
  • Working knowledge of payroll systems and HR software (e.g., Oracle, SAP, ERP, MS Excel).
  • Basic understanding of UAE/GCC labor laws and payroll regulations.
  • Strong attention to detail, confidentiality, and numerical accuracy.
