HVAC Customer Service Dispatcher

Job Summary
We are seeking a dedicated and detail-oriented HVAC Dispatcher / Customer Service Representative to join our dynamic team. The ideal candidate will play a crucial role in enhancing customer satisfaction by providing exceptional service and support, multitasking skills, and a positive and professional attitude. This position requires strong communication skills, Dispatching technicians, and communicating with customers to ensure timely and efficient service.

  • Respond promptly to customer inquiries via phone, email.
  • Maintain accurate records of service calls and job statuses.
  • Produce and manage all purchase order procedures in accordance with company guidelines.
  • Analyze customer needs and provide tailored solutions related to logistics and transportation management.
  • Communicate effectively with customers to resolve issues and provide updates on their orders.
  • Utilize Transportation Management Systems (TMS) and GPS technology to track shipments and optimize routes.
  • Collaborate with internal teams to ensure seamless operations.
  • Maintain accurate records of customer interactions and transactions in r systems.
  • Assist in transportation planning by evaluating delivery schedules and logistics processes.
  • Provide feedback on customer trends and service improvements to management.

Experience

  • Prior experience in Sage SSO preferred.
  • Prior experience in HVAC, dispatching, or customer service preferred.
  • Previous experience in a customer service role is preferred, particularly within the logistics or transportation industry.
  • Familiarity with Transportation Management Systems (TMS) and GPS technology is highly desirable.
  • Maintains payroll information by collecting, calculating, and entering data.
  • Prepares reports compiling summaries of earnings, taxes, deductions, and wages.
  • Resolves payroll discrepancies and analyze information.
  • Maintains employee confidence and protects payroll operations by keeping information confidential.
  • Prepare daily work schedules to ensure timely pick-up and delivery, while following safety and government regulations.
  • Prepared daily work and run schedules to ensure tech arrival to clients to ensure a satisfactory resolution.
  • Organize work orders and preventive maintenances scheduling.
  • Prepare invoices for review.
  • Professionally handle conflicts with technicians and customers.
  • Strong analytical skills with the ability to assess complex situations and develop effective solutions.
  • Excellent communication skills, both verbal and written, with a focus on providing clear information to customers.
  • Knowledge of supply chain processes and transportation planning principles is a plus.
  • Ability to work collaboratively in a fast-paced environment while maintaining attention to detail.
