Job Summary
We are seeking a dedicated and detail-oriented HVAC Dispatcher / Customer Service Representative to join our dynamic team. The ideal candidate will play a crucial role in enhancing customer satisfaction by providing exceptional service and support, multitasking skills, and a positive and professional attitude. This position requires strong communication skills, Dispatching technicians, and communicating with customers to ensure timely and efficient service.
- Respond promptly to customer inquiries via phone, email.
- Maintain accurate records of service calls and job statuses.
- Produce and manage all purchase order procedures in accordance with company guidelines.
- Analyze customer needs and provide tailored solutions related to logistics and transportation management.
- Communicate effectively with customers to resolve issues and provide updates on their orders.
- Utilize Transportation Management Systems (TMS) and GPS technology to track shipments and optimize routes.
- Collaborate with internal teams to ensure seamless operations.
- Maintain accurate records of customer interactions and transactions in r systems.
- Assist in transportation planning by evaluating delivery schedules and logistics processes.
- Provide feedback on customer trends and service improvements to management.
Experience
- Prior experience in Sage SSO preferred.
- Prior experience in HVAC, dispatching, or customer service preferred.
- Previous experience in a customer service role is preferred, particularly within the logistics or transportation industry.
- Familiarity with Transportation Management Systems (TMS) and GPS technology is highly desirable.
- Maintains payroll information by collecting, calculating, and entering data.
- Prepares reports compiling summaries of earnings, taxes, deductions, and wages.
- Resolves payroll discrepancies and analyze information.
- Maintains employee confidence and protects payroll operations by keeping information confidential.
- Prepare daily work schedules to ensure timely pick-up and delivery, while following safety and government regulations.
- Prepared daily work and run schedules to ensure tech arrival to clients to ensure a satisfactory resolution.
- Organize work orders and preventive maintenances scheduling.
- Prepare invoices for review.
- Professionally handle conflicts with technicians and customers.
- Strong analytical skills with the ability to assess complex situations and develop effective solutions.
- Excellent communication skills, both verbal and written, with a focus on providing clear information to customers.
- Knowledge of supply chain processes and transportation planning principles is a plus.
- Ability to work collaboratively in a fast-paced environment while maintaining attention to detail.
