Join our dynamic team as an HVAC Dispatch Coordinator, where your organizational prowess and communication skills will keep our heating, ventilation, and air conditioning (HVAC) operations running smoothly. In this vital role, you will coordinate service requests, schedule technician dispatches, and manage logistical details to ensure timely and efficient HVAC service delivery. Your proactive approach and attention to detail will help maintain high customer satisfaction and operational excellence.

Duties

• Receive incoming service requests via multi-line phone systems and digital platforms, ensuring clear communication and accurate data entry.
• Utilize transportation management systems (TMS), Oracle Transportation Management, and GPS tools to plan and optimize dispatch routes for HVAC technicians.
• Coordinate with field technicians, suppliers, and customers to schedule appointments, prioritize urgent requests, and adjust plans as needed.
• Track fleet movements using GPS and fleet management software to ensure timely arrivals and departures.
• Manage shipping & receiving schedules for HVAC parts and equipment using SyteLine or AS400 systems, maintaining accurate inventory records.
• Analyze logistics data to improve dispatch efficiency, reduce delays, and optimize resource allocation within the supply chain.
• Maintain professional phone etiquette while providing exceptional customer service through clear communication and active listening.

Qualifications

• Proven experience with dispatching in a logistics or transportation environment, preferably within HVAC or related fields.
• Familiarity with GIS (Geographic Information Systems), GPS technology, transportation planning, and transportation management systems.
• Excellent communication skills—both verbal and written—and proficiency in data entry using typing
• Ability to operate multi-line phone systems efficiently while maintaining professionalism under pressure.
• Knowledge of routing processes, fleet management practices, and knowledge of the valley

Pay: $27.26 - $32.82 per hour
