Duties

• Receive incoming service requests via phone, email, and online platforms, accurately recording details using multi-line phone systems and data entry tools.
• Coordinate with supply chain and shipping & receiving departments to ensure technicians have the necessary parts, tools, and equipment for each job.
• Monitor fleet management systems and transportation planning software to assign the most appropriate vehicles for each dispatch, considering location, availability, and workload.
• Communicate clearly with technicians using professional phone etiquette and effective communication skills to confirm appointments, provide updates, and resolve scheduling conflicts.
• Track job progress and update dispatch records in real-time, maintaining accuracy in data entry related to freight movement, service status, and completion times.
• Analyze logistical data to identify opportunities for process improvement within transportation planning and overall logistics operations.

Experience

• Proven experience in dispatching within a logistics or transportation environment, preferably involving HVAC or service industries.
• Excellent communication skills with the ability to handle multi-line phone systems professionally while maintaining a positive customer experience.
• Proficiency in data entry.
• Ability to prioritize tasks effectively in a fast-paced environment while maintaining exceptional phone etiquette and professionalism.
