HVAC Dispatcher

Job Overview
We are seeking a proactive and organized HVAC Dispatcher to join our dynamic team. In this vital role, you will coordinate and schedule HVAC service calls, dispatch technicians efficiently, and ensure seamless communication between clients, field staff, and suppliers. Duties

• Receive incoming service requests via multi-line phone systems and digital communication platforms, ensuring prompt and professional responses.
• Utilize transportation management systems (TMS), GPS, GIS (Geographic Information Systems), and Oracle Transportation Management to plan routes, track technician locations, and optimize dispatch schedules.
• Coordinate with field technicians to assign jobs based on location, skill set, availability, and priority while maintaining efficient fleet management practices.
• Maintain detailed data entry records related to dispatch activities, freight movements, and service logs with high accuracy and attention to detail.
• Communicate effectively with drivers, technicians, vendors, and customers through phone etiquette and clear messaging to ensure smooth operations.
• Analyze logistics data to identify opportunities for process improvements within transportation planning and supply chain workflows.
• Support freight management by coordinating 3PL (third-party logistics) providers and overseeing shipping schedules in compliance with company policies.
• Monitor fleet status using GPS tracking tools to ensure vehicle safety, compliance, and optimal utilization.
• Call on outstanding maintenance contracts, ensuring that all customers receive 2 system checks each calendar year
• Call on outstanding invoice payments as needed.

Qualifications

• Proven experience in dispatching within HVAC or related logistics fields.
• Strong analysis skills with the ability to interpret data from GIS, GPS tracking systems, transportation management software and supply chain platforms.
• Excellent communication skills coupled with professional phone etiquette for engaging with clients and team members effectively.
• Proficiency in data entry with high accuracy; ability to manage multiple tasks simultaneously under pressure.
• Knowledge of transportation planning principles, fleet management practices, shipping & receiving procedures, and logistics operations.
• Technical aptitude for using transportation management systems, GPS devices, GIS tools.
• Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment while maintaining attention to detail. Pay: From $17.00 per hour
