Hybrid Administrative Assistant

<Job Summary>
We are seeking a dynamic and versatile Hybrid Administrative Assistant to join our team! <Duties>

  • Manage front desk responsibilities, including taking fingerprints for our Idemia background check system.
  • Maintain organized filing systems, both physical and digital, ensuring easy retrieval of documents
  • Support calendar management and scheduling for multiple team members using Google Workspace and Microsoft Office tools
  • Perform data entry, proofread documents, and prepare reports with precision and attention to detail
  • Handle customer support inquiries via phone, email, or in person, providing exceptional service and support
  • Assist with bookkeeping tasks using QuickBooks for invoicing, expense tracking, and financial record-keeping
  • Coordinate office supplies procurement, manage inventory levels, and ensure the office environment remains efficient and welcoming

<Qualifications>

  • Proven office management or administrative experience with a strong background in clerical tasks and customer service
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
  • Strong typing skills with high accuracy; familiarity with data entry and proofreading processes
  • Experience using multi-line phone systems, calendar management tools, and basic bookkeeping software such as QuickBooks
  • Exceptional phone etiquette, professional demeanor, and excellent communication skills are essential
