The Export Manager will be responsible for handling international sales operations, export documentation, order processing, coordination with logistics, and ensuring compliance with global trade regulations. The role involves communication with overseas customers, managing export shipments, supporting the sales team with quotations, and maintaining relationships with international clients and distributors.
Key Role and Objectives
A. International Sales Coordination
- Assist the Sales Manager in executing export sales plans and achieving international sales targets.
- Communicate with overseas customers and distributors to manage inquiries, quotations, and orders.
- Coordinate with internal departments (production, quality, dispatch, and accounts) for smooth order execution and timely shipment.
- Prepare proforma invoices, sales contracts, and export order confirmations.
- Support the development of new international customers and markets.
B. Export Documentation & Logistics
- Prepare and verify export documentation as per international trade and customs requirements (Invoice, Packing List, Certificate of Origin, BL/AWB, Insurance Certificate, etc.).
- Coordinate with freight forwarders, shipping lines, and CHA (Customs House Agents) for timely shipment dispatch.
- Track and monitor shipment movements and provide updates to customers.
- Ensure compliance with export regulations, including DGFT, Customs, and other trade authorities.
- Handle export-related certifications and product registrations where required.
C. Commercial and Financial Coordination
- Ensure accurate pricing, incoterms, and payment terms are followed as per approved agreements.
- Coordinate with the accounts department for documentation related to LC (Letter of Credit), bank collections, and export incentives (DBK, RoDTEP, etc.).
- Follow up for payments and ensure timely collection from overseas customers.
- Maintain records of export documentation for audit and statutory compliance.
D. Customer Relationship Management
- Maintain strong relationships with existing international clients through regular communication and support.
- Address customer queries, complaints, or concerns professionally and promptly.
- Provide pre- and post-shipment support to customers.
- Gather market and product feedback from customers to support business strategy.
E. Market Research & Business Development
- Conduct research on potential markets, distributors, and customers for new business development.
- Collect information on competitors, market trends, and pricing structures in export markets.
- Prepare reports and insights for management on potential business expansion areas.
- Support participation in international exhibitions, trade fairs, and promotional activities.
